Massachusetts Institute of Technology Senior Administrative Assistant to the Controller in Cambridge, Massachusetts
SENIOR ADMINISTRATIVE ASSISTANT TO THE CONTROLLER, Office of the Vice President for Finance (VPF), to proactively initiate and organize systems and procedures to provide advanced comprehensive administrative support to the controller. Responsibilities include coordinating and scheduling appointments for the controller; researching and writing memos, letters, and reports on behalf of the controller; creating appropriate file systems; keeping controller’s office and materials organized; communicating on behalf of the controller as directed; dealing with and resolving complex problems; functioning as a high-level individual contributor of multiple projects; creating and maintaining procedures for own work area; planning and coordinating special events or projects; serving on VPF’s administrative team and regularly helping cover the reception desk; and performing related duties as necessary.

REQUIRED: ability to function autonomously and direct own work; proactive; ability to recognize, anticipate, and meet the administrative needs of the controller; sensitivity to organizational dynamics; in-depth understanding of purpose and operations across VPF and MIT; strong grammar, proofreading and written and oral communication skills; excellent interpersonal skills for interacting and collaborating with a diverse group of colleagues at all levels; accuracy and an eye for detail; ability to solve problems and work independently and across functions; precision with data, charts, and reports; ability to collaborate with others to implement new initiatives and resolve issues; discretion, tact, and good judgment with confidential information/issues; and proven ability to use advanced features of standard office software (i.e., Word, Excel, Outlook) and to identify and quickly learn new applications as necessary.
