State of Massachusetts Clerk III in Framingham, Massachusetts
The incumbent must know and follow all applicable agency rules, regulations, standards, procedures, guidelines and policies while performing the below-listed duties:
Operate a central console telephone system (i.e. switchboard) to answer and route telephone calls to appropriate agency personnel and to respond to requests for routine information about agency services, activities, events and, when appropriate, general State Police protocols and procedures.
Operate a postage meter to process outgoing mail for daily pick up by the U.S. Postal Service and/or to affix postage for bulk mailing or specialty services such as certified, registered, priority or express mail. Also, help agency personnel with outgoing document or item shipment via parcel/courier services such as UPS by providing packaging and shipping assistance, information and instructions when needed.
Receive, sort and distribute incoming daily mail, packages, memoranda etc. to appropriate units and individuals in GHQ via the inter-office mail system in the GHQ lobby.
Receive visitors and guests to GHQ, including delivery persons, service and repair personnel, vendors, couriers and process servers, and assist them by accepting delivery of items, contacting intended recipients in the building, connecting them with appropriate agency personnel or services, and/or otherwise providing them with the directions or information they seek. Observe all protocols for building safety and security while receiving and routing visitors and guests.
Operate office equipment such as photocopiers, fax machines, shredders and document scanners to assist agency personnel with projects such as making copies, sending faxes and preparing notices and personnel orders for posting in the building.
Assist agency personnel with scheduling meetings and events in the building by maintaining the GHQ calendar and fulfilling requests to reserve meeting rooms. Support division offices and the Superintendent’s Office during meetings and events by providing admin support as requested while activities are in progress.
Perform data entry and light typing in databases and standard computer applications as directed.
Perform related clerical support duties as required.

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office work, or (B) an equivalent combination of the required experience and the substitutions below:
I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.**
II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.**
III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience.**
IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for the required experience.*
**Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
