State of Massachusetts Office Support Specialist I in Framingham, Massachusetts

The incumbent of this position:

  1. Performs administrative and secretarial duties for Human Resources, particularly in the area of records coordination. The main tasks include fielding and fulfilling requests for HR records; scheduling appointments for HR records reviews; creating and maintaining personnel files; conducting periodic HR records reviews as they pertain to compliance with the Statewide Records Retention Schedule; and making copies, scanning documents, and packaging files and records as needed.

  2. Reviews documents for completeness, content and compliance with standards.

  3. Confers with Human Resources staff in order to exchange information, coordinate efforts on projects and to obtain information concerning the activities of Human Resources.

  4. Prepares reports in order to furnish required information to state and federal agencies.

  5. Maintains liaison with local, state and federal agencies on activities of Human Resources to resolve problems and coordinate activities.

  6. Reviews and analyzes data concerning activities of Human Resources in order to determine progress of assigned individuals on projects.

  7. Maintains personnel information in Human Resources information systems.

  8. Composes and prepares correspondence, reports and/or memoranda for signature of Human Resources staff members according to standard procedure.

  9. Performs related duties such as scheduling meetings, placing telephone calls, etc.; Receives and screens visitors and telephone calls, answers and/or refers inquiries to appropriate parties for action; Maintains files and records such as correspondence files, tickler files, confidential records, telephone call logs, etc.; Opens and routes daily correspondence.

  10. Performs related duties as required.

Office Support Specialist I:

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:


I. An Associate’s or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.

II. An Associate’s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.

Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

Educational substitutions will only be permitted for a maximum of two years of the required experience.
