The Administrative Assistant will provide support to two Directors of Practice Area (DPA) located in the Waltham, MA office, as well as provide periodic administrative assistance as needed, to support individual projects and overall business development strategy activities in the MA region.

• Develops, implements, and utilizes planning, scheduling and tracking tools and systems, processes and procedures to provide effective administrative support services for the DPA.

• Coordinates all activities relating to meetings and engagements as requested by the DPA, including reserving conference room, inviting attendees, drafting agenda, taking and distributing minutes and tracking follow-up items from meetings.

• Maintains and prioritizes DPA’s daily schedule; exercises appropriate judgment in referring parties/inquiries to DPA or other departments; maintains DPA’s contacts via email and voice mail systems; advises on actions necessary; coordinates travel plans.

• Maintains and ensures confidentiality of all written and verbal communications initiated by DPA.

• Responds to requests from other staff and solves problems independently as appropriate.

• Gains familiarity with projects and activities to answer questions and refer requests to appropriate staff.

• Maintains corporate purchasing card; submits and reconciles expense reports.

• Complete other duties and special projects as assigned by the DPA.

• College degree or commensurate experience required.

• Minimum of 2-3 years prior administrative experience required – preferably at a progressively responsible and/or corporate level.

• Ability to perform duties in an independent manner, demonstrating initiative and resourcefulness.

• High level of maturity and ability to deal in confidence with sensitive proprietary and personnel information.

• Advanced knowledge of Microsoft Windows Office Suite tools including Word, Excel, and Power Point, and Outlook.

• Ability to present information, communicate persuasively and respond to inquiries, questions or problems from internal staff or external clients. Excellent organizational skills to manage multiple activities with tact and diplomacy
