Position Summary This position will work on a team responsible for the fiscal operations in the Office of Real Estate and Asset Development (OREAD). This position reports directly to the Director of Finance, OREAD. Duties and Responsibilities * Facilitate requests for encumbrances/expenditures and ensure availability of funds and timely payments. * Generating and amending invoices. * Responsible for communicating to vendors and service providers information concerning procurements, purchases, and payments etc. in a concise and transparent manner and that all fiduciary responsibilities are met in a timely and accurate fashion. * Reconciling receipts to customer invoices; receiving and processing credits and checks. * Researches and resolves unmatched receipts by communicating with internal and external customers. * Creating new customer accounts and amends customer account information as needed. * Generates MMARS warehouse reports as needed for inquiries and for reconciliation purposes. * Responsible for the processing customer refunds due to overpayments. This includes, verifying refund documentation requests and accurately processing refunds based on information received. * Provide analysis of data to help achieve inventory control. * Coordinate day-to-day fiscal and administrative activities. * Maintain spreadsheets, compile, review and analyze data to provide Director with precise and real time information. * Provide technical assistance and respond to fiscal inquiries from staff and vendors. * Research and resolve returned and lost refund checks by tracing checks. * Ensure that all policies and procedures regarding purchasing and contract guidelines are in compliance. * Manage the budget and create a periodic report for both the Capital and Operation budgets for the Property Services managers. * Track encumbrances, purchase orders, and payments on a database; providing periodic tracking reports to the Property Services managers. * Other duties as required by the Director of Finance, OREAD. Applicants must have at least (A) three years of full-time or equivalent part-time, professional experience in business administration or business management in a supervisory, administrative, or managerial capacity, or (B) any equivalent combination of the required experience and the substitutions below. Substitutions: I. A Bachelor's degree with a major in business administration or business management may be substituted for a maximum of two years of the required experience.* II. A Graduate degree with a major in business administration or business management may be substituted for the required experience.* Education toward such degree will be prorated on the basis of proportion of the requirement actually completed.
