Position Summary:

The Operations Supervisor for South End Primary Care plays a crucial role in supporting the Department Leadership by overseeing the development, coordination, and monitoring of departmental workflows. Reporting to the Senior Director, this position is responsible for managing provider EPIC schedules and templates, creating and refining workflows, and ensuring compliance with departmental and NeighborHealth policies.

Key Responsibilities:

  • Develop, edit, and release provider templates in EPIC.

  • Process time-off requests and coordinate team coverage under the guidance of the Senior Director.

  • Create and update the physician after-hours on-call coverage schedule and liaise with the on-call service agency as needed.

  • Coordinate and adjust support staff schedules to optimize patient flow and access.

  • Assess staffing levels for practice support staff and provide recommendations to the Senior Director.

  • Maintain department contact information and update relevant parties (e.g., Telecom, HR, IT) of any changes.

  • Assist in scheduling and coordinating weekly department meetings, including securing meeting space, confirming speakers, and managing CME/CEU conference paperwork.

  • Collaborate with the Medical Staff Office to ensure accuracy of provider schedules and payroll information.

  • Supervise non-clinical staff, including organizing orientation for Practice Secretaries, planning, coordinating, and leading regular staff meetings.

  • Order supplies and monitor department inventory to maintain adequate stock levels.

  • Act as the liaison to IT for the South End Primary Care, focusing on template management, team pools, and development of tools (e.g., smart phrases, smart sets) to support practice redesign and conference room scheduling.

  • Adhere to all NeighborHealth and departmental policies and procedures.

Education:

  • Bachelor’s degree in healthcare administration or a related field.

Experience:

  • Minimum of 2 years in a healthcare business environment.

  • 1-2 years of experience in a team leadership and/or supervisory role.

  • Direct customer service experience, ideally in the healthcare field.

Skills and Abilities:

  • Proficiency in EPIC or other electronic medical records systems, and Microsoft Office Suite (Word, Excel, PowerPoint).

  • Ability to prioritize and manage multiple projects effectively.

  • Strong oral and written communication skills.

  • Analytical skills to review reports and identify trends/issues.

  • Proven customer service abilities.

Pay:

  • Salaried position starting at $50,231 up to $75,347 depending on experience
