Job Summary

The Department of Mathematics and Statistics' Director of Administration and Academic Services serves in a senior leadership role. This position partners with the Head in the overall management of the Department, fostering the continued growth and success of the department’s academic mission.

Essential Functions

  • Provides confidential, executive level support to the Head. Counsels on current and projected status of overall personnel, operations and teaching needs in the department. Partners with the Head on strategic planning and periodic departmental reviews.

  • Leads academic budget planning and allocations. Oversees department course planning and schedules. Manages hiring and participates in the evaluation of department Lecturers and Teaching Assistants (TA) for in-person and online courses. Negotiates Lecturer compensation as necessary and makes recommendations for retention. Conducts new Lecturer/TA orientation.

  • Provides leadership and direct supervision for staff positions to ensure smooth departmental operations. Proactively addresses issues related to supporting a positive work environment for staff, such as workload, professional development and relationships with faculty and students. Provides supervision to department staff on relevant academic and human resource matters. Works to effectively resolve staff conflict or performance issues. Manages recruitment, selection, training, evaluation, and work assignments.

  • Oversees the preparation of faculty tenure and mini-tenure, promotion and PMYR cases. Plans for and ensures that all department personnel actions and related reporting are completed with timeliness and compliance. Develops effective and efficient online tracking systems and documentation to provide proactive and timely reports for department planning purposes. Facilitates faculty and graduate student visa processes.

  • Collaborates with key faculty to drive the development, planning and implementation of new revenue generating academic programs or the enhancement of existing online education initiatives to maximize revenue potential.

  • Oversees the Department academic services, ensuring student success and satisfaction. With the Graduate Program Director, manages the Graduate and Undergraduate Teaching Assistants, Research Assistants and Grader assignments. Manages the Department’s Summer undergraduate research program.

  • In collaboration with College-level communications staff, oversees all communication outlets in the department, including website, newsletters, reports, social media, etc. Supports department alumni events, conferences, and the engagement of high-profile speakers for public lectures or other activities.

  • Supports the planning and execution of alumni events. Manages endowments and scholarship funds determining yearly allocations and ensuring scholarships are appropriately awarded.

Other Functions

  • Work collaboratively and effectively to promote teamwork, diversity, equality and inclusiveness.

  • Work in partnership with colleagues within the CNS community and across the campus to support the Dean’s strategic priorities.

  • Perform other duties as assigned in support of the mission and goals of the College of Natural Sciences.

  • Completes special projects as assigned or required to meet Department, College and University goals and objectives.

  • Serves on appropriate Department, College and University committees as required.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor’s degree and six (6) years of relevant work experience. A Master's Degree in Business, Higher Education Administration, or related field may be substituted for two (2) years of the required work experience.

  • Understanding of STEM in higher education.

  • Excellent managerial, leadership, negotiation, and project management skills and ability to manage crisis situations effectively.

  • Excellent initiative and problem-solving skills. Ability to make sound and mature decisions and to carry out assignments in an organized and timely manner, balancing the demands of concurrent and potentially competing projects.

  • Excellent interpersonal communication skills including the ability to interact effectively and create and maintain harmonious relationships with staff, faculty, students and off-campus constituents.

  • Ability to motivate a lead a team to facilitate collaborative projects, and to work cooperatively with staff, faculty, department chairs, and administrators.

  • Ability to positively influence a respectful workplace defined by personal and professional competence, integrity, and collaboration. Ability to contribute to the implementation of departmental and institutional goals for achieving non-discrimination and creating a respectful, inclusive environment that is supportive of diversity, equity and inclusion.

  • Experience developing and managing budgets.

  • Excellent writing and editing skills. Superlative communication, interpersonal and supervisory skills.

  • Extensive knowledge of computer applications and social media platforms.

  • Excellent collaborative skills with the ability to work productively and diplomatically with faculty and staff from different departments and colleges, as well as constituents from outside the University.

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Knowledge of UMass systems.

  • Knowledge of University level mathematics.

  • Typical office environment.

Additional Details

  • Required to work occasional nights and weekends.

Work Schedule

  • Monday – Friday, 8:30am – 5:00pm.

  • This position has the opportunity for a hybrid work schedule, which is defined by the University as an arrangement where an employee’s work is regularly performed at a location other than the campus workspace for a portion of the week. As this position falls within the Professional Staff Union, it is subject to the terms and conditions of the Professional Staff Union collective bargaining agreement.
