Job Summary

Under the direction of the Deputy Chancellor for Institutional Effectiveness, the Institutional Effectiveness Project Manager manages the workflow of IE projects in support of campus-wide initiatives and goals. Partnering with several areas of responsibility throughout the department and the University, this position documents and tracks the planning, implementation, and administration of complex projects that have specified objectives, outcomes, and deliverables requiring engagement by multiple project collaborators and stakeholders. In addition, the Project Manager facilitates the project intake process by receiving new requests, completing setup, and sharing project details for cross-functional team review.

The Project Manager may additionally contribute to and/or complete the fulfillment of projects and information requests. Serving as a contact for support requests from stakeholders, the Project Manager helps coordinate and drive tasks across various OIE functions and ensures timely, accurate, and thorough completion of projects and activities.

Essential Functions

  • Under the direction of the DCIE, performs other related duties or tasks required to meet Department, Executive Area/Division, and University goals and objectives.

  • Organizes teamwork for high-stakes, deadline-driven projects (e.g., in support of the campus strategic plan) by coordinating resources and establishing communication procedures to ensure that projects are delivered on time.

  • Triages, assigns, and fulfills information requests by serving as the point of contact for faculty, staff, administrators, and other stakeholders requesting support.

  • Identifies project needs, requirements, and parameters. Creates detailed project plans/schedules and timelines, assists with securing resources necessary to complete tasks as needed, and helps drive progress toward the goal of creating high-quality, timely deliverables.

  • Develops and maintains documentation to detail reporting standards, protocols, and processes, including the shared work product calendar to ensure cyclical project timelines are met.

  • Uses project management software/tools to manage and track projects as appropriate

  • Collaborates with all relevant stakeholders in defining the project scope and objectives by maintaining strong relationships and regular communications with campus stakeholders.

  • Articulates all work projects into detailed project documentation and scheduling.

  • Implements and maintains project requests and clearly communicates project timelines.

  • Works collaboratively with the IE team and other key departments across campus as necessary.  

  • Communicates feedback and other updates regarding assigned projects to the IE team as needed.

  • Manages changes to project schedules and budgets.

  • Maintains project management system, including entering, tracking, building, and closing project plans.

  • Receives new project requests and completes set-up and make-ready tasks.

  • Assists with logistics and scheduling.

    Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor’s degree in Business Administration or a related field.

  • Three (3) or more years of work experience in project administration.

  • Strong organizational, project management, and workflow coordination skills.

  • A capacity for a high degree of independent action and initiative, including the ability to establish priorities and manage multiple complex tasks in a fast-paced environment while meeting defined goals and deadlines.

  • Ability to effectively coordinate and comprehend the work of staff, consultants, contractors, and others connected with this work. Anticipates project issues and establishes plans to remedy in a timely and efficient fashion.

  • Experience using software/cloud-based tools to manage projects, track, obtain, and deliver data and information, write and edit reports/documents.

  • Excellent ability to analyze, summarize, and clearly present data and information in ways usable by stakeholders.

  • Excellent oral and written communication skills, including the ability to credibly and diplomatically communicate with faculty, staff, administration, and external constituents.

  • Contributes toward creating a positive and respectful workplace defined by personal and professional competence, integrity, and collaboration.

  • Uses access to sensitive data and/or not-yet-public University-related information only in the performance of the responsibilities of position and exercises care to prevent unnecessary disclosure to others.

  • Willingness to take on new challenges and tasks as needed.

  • Ability to be “service-oriented,” focusing on constituent needs.

  • Experience working in a team-oriented environment.

    Preferred Qualifications

  • Master’s Degree in Business Administration or other related field.

  • Project Management Professional (PMP) certification or equivalent.

  • Experience in higher education.

  • Typical office environment.

    Work Schedule

  • Monday - Friday, 8:30 am - 5:00 pm.

  • This position has the opportunity for a hybrid work schedule, which is defined by the University as an arrangement where an employee’s work is regularly performed at a location other than the campus workspace for a portion of the week. As this position is non-unit, it is subject to the terms and conditions of the University of Massachusetts Board of Trustees Non-Unit (Professional) Employee Personnel Policy.
