Pfizer Administrative Lead in Andover, Massachusetts

What You Will Achieve

You will join a team of three Administrative Leads supporting the Bioprocess Research & Development (BRD) team, one of the organizations that works on break through medicines such as COVID 19 vaccine and Gene Therapy. Your strong collaboration, communication and service delivery will help BRD administration and business operations run smoothly and efficiently.You will provide administrative support to assigned BRD departments, co-support BRD site in Andover, and partner on activities across the BRD organization.

As part of the Bioprocess Research & Development Administrative Lead team, you are recognized as an advisor to managers and colleagues due to your comprehensive knowledge and skills in your area and understanding of the larger organization. You are innovative in identifying solutions to problems by taking a broader perspective that benefits the organization.

You will manage large amounts of confidential Pfizer information, exercise discretion, and use independent judgment to make sound business decisions. You embody and encourage collaboration and clear communication within the team and across groups to influence desired outcomes. You provide guidance to the team that helps us achieve our goal of creating breakthroughs that change patients' lives.

ROLE RESPONSIBILITIES

  • Provide administrative support to assigned departments.

  • Coordinate and proactively manage calendars, meeting schedules and travel, using prioritization skills and a high level of interpersonal refinement

  • Provide guidance and support to managers and colleagues.

  • Work closely with managers to plan and execute departmental meetings and communications

  • Provide departmental recruiting and onboarding support: engage potential candidates, schedule interviews, etc

  • Partner with managers and training team to track and ensure up to date compliance with all required training

  • Partner with other Andover based Administrative Lead to co-support BRD team at the Andover site. This can include activities such as catering, event planning, supplies, BT support and colleague questions.

  • Manage and support BRD SharePoint site which involves organizing the site, managing the documents including archiving previous document versions, establishing workflows for documents/ forms, and assigning access permissions.

  • Provide support for BRD specific colleague groups such as BRD Leadership Council and BRiDge. Schedule regular meetings, coordinate special events including venues and catering, support events, schedule seminars, and additional support as needed.

  • Provide support for BRD digital projects team.

  • Partner with BRD Administrative Leads on cross BRD activities; provide back up support for activities and cover for vacations and time away

  • Partner with BRD Administrative Leads to identify and implement process improvements for administrative tasks to meet broader business objectives

  • Manage own time, professional development, and prioritization of work and take personal accountability for quality of work that impacts the department

QUALIFICATIONS

  • Minimum of a high school diploma; Associates or Bachelors degree preferred.

  • 5+ years of experience providing administrative/ business coordination support to Director level leaders and multiple departments in fast paced, dynamic environment

  • Previous experience supporting R & D and/or manufacturing environments preferred

  • Previous experience in life sciences or adjacent industries preferred

  • Proficiency in Microsoft Office Suite, especially PowerPoint, Excel, Word, Teams, and SharePoint

  • Proficiency in executing administrative tasks, including demonstration of high quality work delivered on time

  • Detailed approach to work with strong organization skills and follow through

  • Problem solving mentality, including resourcefulness and ability to work across functions (within and outside the department) to resolve issues as they arise; Proactively identifying or anticipating issues and using judgment to expeditiously resolve all issues including the most urgent

  • Proven ability to prioritize activities, ensure all matters are addressed in order of priority, ability to pivot direction quickly, and work independently, including handling multiple tasks with tight deadlines and working well under pressure

  • Ability to collaborate and partner with Administrative Lead team, interact professionally with internal colleagues at all levels and external organizations

  • Excellent judgment and discretion, and have the ability to work with highly confidential documents and information

  • Excellent communication (verbal and written), interpersonal skills at a global, cross-line level

  • Quick learner, strong sense of urgency and efficiency in completing work

  • Must be able to maintain composure under pressure and manage unforeseen situations

  • Excellent judgment, problem resolution and decision-making skills

  • Able to manage confidential information
