Job Description

Responsible for all aspects of distribution and collection of Supplier add documentation, maintenance, and updates, in accordance with Government (ITAR), ISO, and Financial requirements. This includes obtaining required forms, vetting all new suppliers via company policies and procedures, adding all supplier data to our ERP (SAP) database, reviewing for accuracy and completeness, and storing back up data. Insure compliance with Government requirements for Small Business category review (Hub Zone, Woman Owned, Veteran Owned, Service Disabled Owned and Small Disadvantage Owned), for Government Certification and Representations reviews/reporting.

This function would also execute MRO Purchases/MRO Service agreements, including PO’s and Professional Service agreements.

Primary Duties & Responsibilities:

  • Supplier documentation, maintenance and updates

  • Small Business compliance and reporting

  • MRO Procurement and Service Agreements

  • Administrative support for supplier performance reviews.

  • Annual Conflict Minerals data assembly in support of 3rd party administrator efforts.

  • Annual Electronic Mailings for documentation requiring renewal certifications (I.E. ITAR registrations, Reps and Certs).

  • Filing: Manual and Electronic.

  • Department Credit Card Reconciliation, reporting to Finance.

Job Qualifications:

  • Associates degree or equivalent, with up to one (1) year of direct experience in an Administrative support function. ITAR environment a plus.

  • Excellent communications skills, strong organizational skills, works well with multiple disciplines, self-starter.

  • Strong working knowledge of MS Office Suite.

  • Exposure to SAP preferred, or similar ERP systems.
