Job Summary

Harvard Pilgrim Health Care Institute is currently seeking a highly motivated individual to join the Division of Health Policy and Insurance Research (HPI) within Harvard Medical School’s Department of Population Medicine (www.populationmedicine.org) as an Administrative/Project Specialist. HPI is one of 5 divisions within DPM, a research and teaching partnership between Harvard Pilgrim Health Care and Harvard Medical School. As the nation's first medical school appointing department based in a health plan, we are strategically positioned to improve population health and health care delivery locally, nationally, and internationally.

The Administrative/Project Specialist will be responsible for providing organizational and administrative support for several faculty and key team members. Successful candidates are highly detail-oriented, self-motivated, and have experience managing multiple high priority tasks. This position requires the ability to anticipate the needs of HPI staff and faculty.

If you are interested in or looking to gain experience in a public health or academic research setting, this is an excellent opportunity. Prior experience in these areas is a plus but not required.

Key Responsibilities/Duties – what you will be doing

  • Oversee faculty members’ biosketch, CV and other support documentation.

  • Arrange and coordinate special meetings and events as requested.

  • Assist with manuscript preparation and journal submission; assist with references

  • Conduct basic literature searches

  • Demonstrate high-level proficiency in Microsoft Office programs and virtual conferencing platforms.

  • Provide general support, including drafting communications, creating slide decks, coordinating travel arrangements, and preparing and tracking expense reports, etc.

  • Work on special projects as needed.

  • Perform out-of-the-box thinking, collaborate with others, and make a difference every day!

  • Experience and enjoy managing multiple diverse tasks simultaneously

  • Other duties and projects as assigned.

Qualifications – what you need to perform the job

  • Bachelor's degree preferred or comparable professional work experience.

  • Proficiency with various software packages, including Adobe, Microsoft Word, Excel, Access and Power Point, and other desktop tools.

  • Excellent attention to detail, highly organized and able to handle multiple tasks simultaneously.

  • Good interpersonal skills; solid written and oral communications skills.

  • Resilient, collaborative, flexible, innovative.
