Boston University ASSISTANT DIRECTOR OF FINANCE AND ADMINISTRATION, School of Social Work in BOSTON, Massachusetts
The School of Social Work (SSW) seeks a dynamic and detail-oriented Assistant Director of Finance and Administration to join one of its esteemed institutes. This vital position will serve as the operations manager, overseeing the research grants, teaching grants, and communication activities of the Institute. Reporting to the Director, the Assistant Director will execute a wide range of financial, project management, and administrative tasks, ensuring the smooth operation and success of the Institutes initiatives.
Key Responsibilities:
Grant Management
Collaborate with the Institute's Director and team to develop budgets and prepare documentation for research proposals, including subcontract details.
Coordinate with BU's grant management offices for all pre- and post-award processes.
Manage post-award responsibilities, such as setting up chart strings and billing grants/contracts.
Track grant and contract expenses against approved budgets, resolve discrepancies, and prepare interim and annual reports (budget narratives and evaluations).
Create financial tracking systems to monitor the Institutes financial capacity and forecast funding needs.
Project Management
Work closely with the Institute's Director to track tasks and deliverables for all projects, including grants and contracts.
Assist in managing funding sources and tracking salary coverage for the Institute's team.
Provide editorial support for external deliverables.
Administrative Support
Collaborate with the SSW HR Manager on staffing matters, including developing job descriptions, and recruitment.
Facilitate communications with external collaborators, grants/research administration offices, consultants, and vendors to ensure timely approvals and payments.
Manage general administrative tasks, such as scheduling meetings, reserving rooms, and ordering office supplies.
Other Responsibilities
Assist in disseminating the Institute's research and communication efforts.
Handle sensitive and confidential matters with professionalism.
Required Skills
Bachelor's degree and 8+ years of experience.
