First Realty Management Assistant Property Manager in Boston, Massachusetts

First Realty Management is seeking a full-time Assistant Property Manager with a "hands-on" approach under the direction of the Property Manager to assist in ensuring the efficient operation of several different small to mid-size apartment communities. Will also support the Property Manager in achieving all site goals.

Job Functions:

Under the direction of the Property Manager, the Assistant Property Manager is responsible for ensuring the efficient physical and financial operation of the property. Supports the Property Manager in all his/her efforts to achieve site goals.

Ensures that the resident leasing process is completed promptly and in accordance with established procedures by:

  • Sending out notifications

  • Completing all required lease paperwork.

  • Completing and processing all applicable site billings and month-end closing.

  • Ensure voucher program renewals are sent out and completed.

  • Assist with annual EV requirements including rent increase process.

Manages and monitors the rent collection process by:

  • Keypunching data, tracking payments, and making deposits.

  • Handling delinquent accounts according to the manager's directives and meeting all applicable legal requirements.

Works with the maintenance team to:

  • Ensure apartment readiness for new residents.

  • Ensure that work orders are completed in a timely manner.

  • Ensure pre-move-out and move-out inspections are completed, + information gathered for the final accounting statement for damages.

Ensures efficient physical operation of property by:

  • Conducting regular property inspections, including those appropriate upon apartment turnover.

  • Administering and monitoring preventative maintenance program.

Works with the site Property Manager and Marketing Coordinator to reduce vacancy by:

  • Implementing site marketing plan.

  • Shopping assigned property's competition.

  • Completing occupancy-related reports and correspondence.

  • Review and approve daily rent in Yieldstar to maximize revenue.

Fosters and maintains positive resident relations to achieve a satisfactory resident retention rate by:

  • Responding to resident service requests and other resident needs in a prompt, efficient, and courteous manner

  • Covers all site operations in the absence of the Property Manager.

  • Assists Property Manager to supervise site staff and process paperwork.

  • Oversee all office operations, supplies, postage, and packing supplies.

  • Other responsibilities as assigned.

Requirements

  • Understanding of property management practices.

  • Familiarity with local, state, and federal housing regulations and any housing programs applicable to property

  • Strong skills in discretion and judgment

  • Excellent communication skills, both verbal and written business English.

  • Proficiency in Microsoft Word, and Excel.

  • Ability to learn quickly.

  • Basic marketing skills.

  • Good and frequent resident relations/customer service skills.

Level of Education/Training/License:

  • Bachelor’s degree in business preferred.

  • Formal industry-related certifications, such as CPO, are desired.

Experience:

  • 1-3 years experience with residential property management
