Boston Public Schools Budget and Operations Coordinator, Special Education (Anticipated Vacancy) (SY22-23) in Boston, Massachusetts
This position is an anticipated vacancy. It is expected to be vacant by June 08, 2023. However, the current incumbent has a right to rescind their retirement, leave, or resignation up until the day of the expected vacancy date. Your hire will not be confirmed until the position is vacated, and you may start the year as a Long-Term Substitute if the position does not become vacant by the start of the school year. Reports to: Director of Operations and Service Implementation Location: Special Education The Office of Special Education provides instructional and compliance support to the Boston Public Schools. Working closely with the Special Education department, this position will support in planning, implementing spending requests, and tracking and monitoring the department’s annual budget (general funds and grant revenue) including major contracts. This position will support the important educational mission of the Special Education department with limited financial resources and will be responsible for updating and preparing reports and documents. This individual should be a self-starter with the ability to prioritize and execute multiple tasks and projects and provide exemplary customer service to school communities, including and staff families. The position will also involve operational support, such as the coordination of staff and resources across multiple buildings. We are looking for someone who is a strong communicator, meticulous and detail-oriented, and motivated to learn new skills. Responsibilities: 1. Support the financial management of the department, including but not limited to: using multiple tracking systems or databases to monitor the budget reviewing and preparing budget transfers using designated methods to calculate stipend payments for employees overseeing the accurate and effective submission of payroll initiating purchases, tracking purchase status and receipts, and tracking stipend payments that are authorized by a supervisor collaborating with team members to spend down grants and close the fiscal year 2. Prepare reports related to the financials of the budget or the operations of the department, including but not limited to: spending and budget reports inventories of supplies or materials request lists management of applications for new hires scheduling of events maintaining of phone logs 3. Provide customer service to Special Education department members around finance or operational issues and customer service to school communities, including families, who call the Special Education office 4. Perform any other duties as assigned by the Director of Operations and Service Implementation and/or the Assistant Superintendent of Special Education Qualifications-Required: Education: Bachelor’s degree 1-3 years experience in a related field Strong oral and written communication skills Experience with Microsoft Office suite (Excel, PowerPoint, Word) Ability to prioritize competing demands Attention to detail Successful experience working in a team-oriented environment Current authorization to work in the United States - Candidates must have such authorization by their first day of employment Qualifications-Preferred: Bachelor’s degree in Finance Experience with Google Sheets, Documents, and Forms 3. Experience in ERP systems (especially Peoplesoft) Terms: Managerial, Tier B. This position is subject to the City of Boston residency requirement. Occasional weekend and evening work is required. TERMS: Managerial, B22. City of Boston Residency is Required.
