Position Summary

The Program Coordinator Intern supports SPPM leads and/or PMs in both program and strategic initiatives management and execution. Works closely with respective teams, providing technical/administrative PM support through scheduling meetings / sessions, delivering on meeting minutes and follow up on action items and assists in up to date maintenance of project schedules and creation of guidance material or reports in addition to ensuring actions are completed and critical issues identified and escalated for resolution. The administration work includes analytical and specialized program/initiative administrative support to assist staff with complex tasks and advanced administrative duties including collection and preparation of information and key data for use in discussions/presentations. Coordinates activities between functions/departments and outside parties. Contacts and works with company personnel at all organizational levels to get meetings scheduled, gather information, prepare presentations/reports, maintain program timelines and drive documentation on Sharepoint.

Responsbilities

Program Coordination & Support - 60%

  • Provide assistance on program / initiative deliverables including MS project, Milestone Pro, Visio, PowerPoint, meeting and event coordination

  • Assist SPPM staff in planning meetings, taking & distributing minutes and following up on action items and deliverables as required

  • Review program/initiative status and prepares status reports

  • In alignment with SPPM staff, provides solutions to routine program questions and issues related to program milestones and deliverables ensuring that programs remain on schedule while meeting quality expectations and client-satisfaction goals

  • Support SPPM staff with: Monthly reporting requirements, calendaring, program timelines, action item follow-up, etc.

  • Collects and prepare information for use in discussions/meetings

  • Work with the SharePoint Team Site ensuring site is up to date and accurately categorized and monitored

  • Reviews and draft answers for program questions and inquiries on own initiative and determine within established guidelines what action is required. Proactively aligns draft response with SPPM staff.

  • Assist Head of SPPM with assignments as identified

  • Coordinates activities within SPPM and between SPPM and other functions

Administrative Support - 20%

Provide a range of administrative duties supporting SPPM staff including but not limited to:

  • Meeting agendas, presentations, reports and follows up on action items

  • Take and maintain minutes for meetings as required

  • Proactively manages meeting calendars/schedules

  • Drive contracting process for SPPM in Alexion (ensure POs are well executed)

SPPM Support - 20%

  • Active participations in the SPPM team, strategic initiatives team and PM forums to deliver SPPM initiatives and build a center of program and project management excellence (per assignment)

  • In collaboration with the SPPM team, facilitate and coordinate brain storming sessions to increase SPPM maturity

  • Establish guidance documents and maintain Sharepoint site to educate organization on Alexion’s Product to Patient Model.

  • Liaise and coordinate with other Interns and Project Coordinators to ensure optimal interaction with other staff/departments

Education & Experience

  • Education / experience in Project Management

  • Experience in meeting planning, project support and event coordination is desired

  • Experience working within a high paced fluid environment is desired

  • Experience with contracting/PO management is desired

  • Bachelor’s Degree preferred

  • Must be able to exercise judgment, tact and diplomacy on behalf of the SPPM team when dealing with different levels of management..

  • Availability outside of office hours required as needed through email, phone, etc.
