Circles Concierge & Event Manager in Boston, Massachusetts

Position Overview:

The Concierge & Events Manager will act as Circles’ key representative for a large commercial real estate campus comprised of office complexes and mixed-use property, supporting key tenants and our client. In this role, you will serve as a key member of Circles’ team, with a primary focus on planning and executing on key account initiatives to ensure that we provide outstanding service and support key tenants and our client.

This role is perfect for you if you are extroverted, love working with people, are organized, social media savvy, deadline driven, and have a passion for always exceeding customer expectations! On a typical day you will assist Office Managers, Facilities Leads and HR Managers in arranging catering, organizing company meetings, securing venue space, delivering onsite amenity services, planning and executing tenant social events, creating informational newsletters, updating property web sites and social media feeds, and much more! This is a full-time, salaried position and will require working a flexible schedule, including some nights and weekends to fulfill obligations.

Job Responsibilities:

  • Work with the property management team and the marketing coordinator to organize, create marketing materials (including advertising campaigns), and manage onsite events (Easter Bunny, Halloween, Holiday Stroll, Summer series etc.)

  • Create and manage recurring tenant newsletters, emails and digital communications

  • Maintain and update an Eligible Customer digital website that will provide information on Client Premises amenities, discounts, promotions, events and general program information

  • Help support and contribute to the social media account for the property

  • Work with onsite fitness center providers to promote services with tenants and coordinate lunch and learns

  • Arrange virtual classes for employees (flower arranging, golf lessons, painting, meditation, etc.)

  • Organize training events (speakers, venues, employee lunch and learns, etc.)

  • Manage car detailing, dry cleaning, grocery delivery programs, farm share delivery, take home dinners, etc.

  • Organize annual tenant appreciation event (in addition to monthly networking events)

  • Researching and arranging travel for senior managers (rental cars, hotels, restaurants, conference rooms, etc.)

  • Support, plan and help organize corporate catering (lunches, board meeting, events, etc.)

  • Support, plan and help organize corporate outings and events (buses, summer outings, team building, etc.)

  • Provide information service (electric car charging stations, bike share, scooters, public transportation, other area amenities)

  • Arrange flu clinics, blood drives

  • Provide notary service

  • Manage the discounts and corporate rates program for the property

Qualifications:

  • Bachelor’s Degree strongly preferred

  • 5+ years of hospitality, customer service or corporate event/marketing or related experience preferred

  • Demonstrates strong MS Office abilities including PowerPoint, Excel, and MS Word

  • Must be willing to work a flexible schedule, including some nights and weekends
