Job Description:

The Deposit Payments and Products team’s objective is to manage a suite of Consumer products such as Checking, Savings, Debit, Balance Assist, Balance Connect, CD’s, IRAs, and other payment products and deliver innovative, leading edge, digital first products, features and experiences that exceed our current and future clients evolving financial needs. The Deposit Payments and Products Executive Assistant (EA) will perform diverse, advanced, and confidential administrative support, and manage robust scheduling for high-level executive meetings, including the creation of agendas and preparation of materials. The EA relieves management of administrative details, gathers, compiles and reports information relevant to/for the executive, and manages different and conflicting objectives, projects, or activities at once. The EA has contact and exposure to sensitive information and must use considerable tact, diplomacy, and judgment

The Deposit and Payments Products Executive Assistant Role Responsibilities include:

  • Supports a senior Executive and provides indirect support for the executive’s staff

  • Coordinates schedules for executive to maximize time and create efficiencies

  • Assists with on-boarding of employees and coordinating employee events

  • Manages all travel planning andexpenses

  • Supports the Business Support Manager in thecreation of agendas and material preparation

Required Skills:

  • Minimum 5 years administration / business support experience

  • Ability to multi-task, self-starter requires minimum supervision

  • Ability to proactively look for potential conflicts or issues and resolve

  • Strong attention to detail

  • Ability to prioritize and work well under pressure

  • Ability to obtain information in a timely and efficient manner

  • Strong comprehension, listening, verbal and written communication skills

  • Strong analytical and problem-solving skills

  • Ability to navigate in a constantly changing environment and under tight deadlines with high level of accuracy

  • Proven relationship skills and ability to work with a variety of constituent groups

  • Ability to interface with Senior Executives and executive assistants

  • Ability to maintain and manage confidential information

  • Proficiency in calendar management

  • Proficiency with Microsoft Office (PowerPoint, Word, Excel, Outlook)

Desired Skills :

  • BS/BA

  • Proficiency in Concur & Ariba systems

  • Proficiency in internal technology ordering systems

  • Knowledge of ACRsystem

  • Visio skills a plus

  • Curious and eager are always a plus

Enterprise Role Description:

Typically supports a Band 1 executive, handling administrative duties. Performs diverse, advanced and confidential administrative support including composing, signing and releasing routine but somewhat complex correspondence. Relieves management of administrative details; gathers, compiles and reports information relevant to/for the executive. Reads, screens, refers and responds to incoming mail, ensuring that referrals are made, responses are gathered and summarized. Typically manages different and conflicting objectives, projects or activities at once. Coordinates schedules for corporate level executives. May act as liaison to outside groups coordinating events where the executive is a corporate chair, director or committee member. Communicates with executives and line management to gather/convey relevant information. Some staff at this level are involved in high-level client contact and exposure to sensitive information and must use considerable tact, diplomacy and judgment.
