Robert Half Executive Assistant in Boston, Massachusetts

Description We are offering a contract to permanent employment opportunity for an Executive Assistant in Boston, Massachusetts. As an integral part of our team, you will be providing administrative and business support to senior management, ensuring efficient operation of the office, and handling a variety of tasks that facilitate the smooth running of the organization.

Responsibilities:

• Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.

• Oversee the usage and maintenance of office equipment and software, such as Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, and About Time.

• Handle sensitive information in a confidential manner.

• Coordinate communication, including taking calls, responding to emails and interfacing with clients.

• Prepare internal and external corporate documents for team members and industry partners.

• Uphold a strict level of confidentiality and professionalism.

• Provide assistance in planning and coordination of company meetings, events, and sessions with other department and teams.

• Responsible for managing office services by ensuring office operations and procedures are organized.

• Coordinate with other departments to ensure compliance with established policies.

• Perform other related duties as assigned. Requirements • Proven experience as an executive assistant or related administrative role

• Proficiency in Microsoft Office Suite, including Excel and Outlook

• Familiarity with Concur and CRM systems

• Excellent calendar management skills, with the ability to coordinate complex executive meetings

• Experience managing correspondence and documentation in a detail oriented setting

• Knowledge of office procedures and business protocol

• Strong organizational and time management skills

• Ability to interact comfortably and professionally with high-level executives (C-Suite)

• Proficiency in 'About Time' time management software

• Excellent verbal and written communication skills

• Ability to multitask and prioritize daily workload

• High degree of discretion dealing with confidential information

• Strong problem-solving skills and ability to make decisions under pressure

• High attention to detail.

• Familiarity with basic research methods and reporting techniques.
