Robert Half Executive Assistant in Boston, Massachusetts

Description We are offering a contract opportunity for an Executive Assistant located in Boston, Massachusetts. This role primarily involves supporting management, including executives, using a variety of project management, communication, and organizational skills. The selected candidate will be responsible for a multitude of tasks, including correspondence, organizing official meetings and events, and providing high-level administrative support in an office setting.

Responsibilities:

• Provide support to executive-level and/or C-suite leaders, ensuring smooth and efficient operations.

• Use Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) proficiently to perform tasks such as preparing correspondence, receiving visitors, and arranging conference calls.

• Exhibit strong presentation skills, with the ability to think quickly and adapt to changing circumstances.

• Implement effective planning and coordination skills, creating timelines and executing tasks accordingly.

• Screen calls, schedule appointments, and manage travel and meeting arrangements.

• Manage expense reports, typing correspondence, preparing reports and financial data, and handling confidential information professionally.

• Schedule and coordinate all required resources for meetings and handle additional administrative tasks as necessary.

• Prioritize and manage multiple projects simultaneously, ensuring timely follow-through on issues.

• Prepare PowerPoint presentations to support group leadership.

• Handle confidential or sensitive information with discretion and professionalism. Requirements • Proven experience as an executive assistant or similar administrative role

• Proficient in Microsoft Office Suites including Microsoft Excel, Microsoft Word, Microsoft Outlook, and Microsoft PowerPoint

• Excellent communication and interpersonal skills for effective collaboration and correspondence

• Strong customer service skills and a detail oriented demeanor

• Ability to manage and schedule appointments effectively

• Experience in project management, planning, and coordination

• Capacity to conduct thorough research and prepare detailed reports

• Familiarity with basic clerical duties and typing

• Proven ability to develop and deliver presentations

• Demonstrated leadership skills and ability to work independently

• Experience in data analysis and the ability to execute tasks efficiently

• Understanding of C-Suite level operations

• Experience arranging travel and managing timelines

• Ability to maintain professionalism and confidentiality in all matters.
