SUMMARY

MassMutual’s Corporate Finance - Controllers Organization group is seeking an exceptional, highly motivated and self-directed executive assistant in its Boston office location (occasional travel to Springfield may be required). This is an opportunity to join a growing and high performing team with diverse backgrounds in an open work environment.

RESPONSIBILITIES

This highest level administrative assistant provides a full range of administrative support for the Chief Accounting Officer and the Controller’s team in Boston. Typically exposed to highly confidential information and involved in coordinating and producing sensitive reports and analyses. Handles budget, invoicing, staffing, and new hire onboarding, as well as preparation and creation of various presentations. Heavily involved in the strategic initiatives, mission and vision of the department. Plan and coordinate department meetings, Audit Committee and Quarterly Management meetings. Coordinate high-level conferences, meeting and travel arrangements. Coordinate calendars and acts as a liaison with the external audit team as well as closely interacts with appropriate resources (Compliance, Law, Human Resources, Communication, etc.)

  • Act as liaison to other departments in the company as well as to subsidiaries; provide various types of support to the teams, as needed

  • Responsible for proactive calendar management; involves managing requests for face-to-face as well as teleconference meetings

  • Meeting and event coordination and planning including, but not limited to, preparing and distributing agendas, reserving and preparing facilities, hospitality and equipment arrangements

  • Ensure all parties are informed and kept abreast of content, schedule, location and other logistics

  • Coordinate budget summaries for large budget area on a monthly basis for management to closely track expenditures against phased monthly targets

  • Manage telephone and e-mail activity as requested, including: receiving and screening incoming calls in a professional and timely manner; directs or forwards callers

  • Coordinate travel arrangements and complete expense reports through our online management systems

QUALIFICATIONS

  • Uses judgment and experience to schedule, confirm or redirect meeting requests

  • Typically requires extensive knowledge of job functions or a specific skill within the realm of non-exempt type work

  • Exercises judgment and discretion in handling requests for appointments and telephone calls

  • Perform general administrative duties

  • Maintain supplies, equipment, printing and other services as needed

  • Often participates in more complex projects or assignments

  • May act in lead role and provide assistance or training to less experienced individuals

  • Versatile, flexible, and displays a willingness to work within changing priorities with enthusiasm; commitment to excellence and high standards

  • Individual typically has at least 5 yrs+ of related experience

  • Must be eligible to work in the United States without sponsorship now or in the future

PREFERRED QUALIFICATIONS

  • Bachelor's Degree and 5+ years of relevant experience preferred
