Dana-Farber Cancer Institute Faculty Services Administrator - Department of Pediatric Oncology in Boston, Massachusetts

Under the general direction of the Faculty Affairs Manager in Pediatric Oncology (PO), this Faculty Services Administrator position has comprehensive administrative support responsibility for faculty academic and hospital credentialing appointment processing, as well as coordination of external learner onboarding and scheduling. This position will help coordinate all aspects of the Harvard Medical School academic appointment processes as well as hospital credentialing processes for Dana-Farber Cancer Institute, Boston Children’s Hospital and Brigham and Women’s Hospital. The Faculty Services Administrator must communicate effectively with all levels of faculty and other department and hospital administrators. They will provide support to the Faculty Affairs Manager which requires an appropriate ability to manage time-sensitive and confidential information. The Faculty Affairs Administrator is expected to function well with a high degree of independence as well as collaborate with the Faculty Affairs Manager to accomplish job responsibilities in a timely and thorough manner under strict deadlines.

  • Provides administrative support for Harvard Medical School (HMS) appointments for Fellows, Visiting Students, Associates, and Lecturers.

  • Assists the Faculty Affairs Manager as needed with promotions and renewals for Instructors, Assistant Professors, Associate Professors and Professors.

  • Coordinates faculty search information by compiling search documents and information, advertisement posting dates and invoices. Works with Faculty Affairs Manager to enter searches into the HMS Search Portal and run reports.

  • Drafts and updates CVs for new Fellows and Instructors according to HMS CV format and enters CV information into Digital Measures / Faculty Success - Watermark.

  • Maintains and updates faculty files, databases and excel spreadsheets.

  • Manages licensure and appointment reminders.

  • Provides credentialing support for hospital appointment renewals, including generating malpractice face sheets, patient volume reports and assisting with annual rotator credentialing processing.

  • Initiates and coordinates Boston Children’s Hospital (BCH) Associated Personnel onboarding in PeopleSoft and Cornerstone learning system.

  • Provides administrative support for External Learner onboarding and clinical rotation scheduling.

  • Bachelor's degree with 5 years’ of relevant administrative experience.

  • Experience working in a medical or scientific research setting or comparable technology-oriented business environment or academic medical center is preferred.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Excellent written and oral communication skills

  • Advanced knowledge of computer applications including Microsoft Office Suite, Google Suite, Zoom, Adobe.

  • Demonstrated ability to lead initiatives to completion as well as an exemplary record of successful program management.

  • Adheres to all hospital-wide standards for professional behavior, as well as cultural sensitivity and age specific competencies.

  • The ability to communicate effectively with a diverse constituency, including -- senior hospital administrative staff, Division Chiefs and Administrators, research faculty at all levels, research trainees and staff, representatives of BWH DOM and colleagues.

  • Ability to prioritize and manage multiple tasks. Time-management, multitasking and the ability to work under pressure in a fast-paced, developing organization are essential.

  • Must possess strong writing and presentation skills.

  • Good organizational and interpersonal skills.

  • Understanding of and ability to use medical terminology.

  • Ability to effectively respond to time sensitive and confidential issues.

  • Initiative and ability to work well both independently and as a member of a team.

  • Ability to adapt to changes in applications, policies and procedures
