Commonwealth Care Alliance Manager, Mail Operations (on-site) in Boston, Massachusetts

Why This Role is Important to Us:

This is a key leadership role that will provide oversight of CCA’s multi-state Mail Operations. The Mail Operations Manager is responsible for being CCA's subject matter expert for all postage and mailing activities. The Mail Operations Manager ensures compliance with business requirements and with all US Postal Service regulations on postage meter usage, vendor submission of mail and mail practices, address management, procurement/cost optimization and print quality.

What You'll Be Doing:

  • Mail tracking management for all outbound and inbound mail within CCA

  • Vendor Management:

  • Service level agreements are up-to-date and reviewed regularly.

  • Reporting is in place and vendors who are engaging in mail-related functions on CCA’s behalf are maintaining expected standards.

  • Vendor invoice processing

  • Vendor communication

  • Responsible for training, drafting procedures and a resource for internal staff.

  • Identifies and implements cost savings initiatives specific to CCA’s mailing and shipping functions.

  • Monitors and improves Address Management with a goal of reducing returned mail volume.

  • Works directly and collaboratively with other business units to facilitate and improve mail processes. Supports the CCA teams as the postal/shipping subject matter expert.

  • Serves as United States Postal Service and shipping subject matter expert company wide.

  • With Procurement, manages postage expense management with all vendors who engage in mailing of materials on behalf of the plan.

  • Manages all expense management including purchase orders, billing, and invoices for CCA’s print, mail and shipping vendors.

  • Assists with contract development for CCA’s print, mail and shipping vendors.

  • Monitors and validates compliance with postal regulations for CCA’s print, mail and shipping vendors.

  • Represents CCA externally on mail/postage functions.

  • Generates KPIs and reporting showing costs, trends, and initiative benefits.

  • Manages direct reports in accomplishing team responsibilities and goals.

  • Performs other duties and/or projects as assigned.

What We're Looking For:

Required:

  • Bachelor’s Degree or equivalent experience required

  • 5+ years working close within the mailing / shipping industry required

  • Self-motivated and able to work independently

  • Identifies and drives postal/shipping initiatives

  • Able to organize and prioritize multiple tasks/projects to meet deadline commitments

  • Strong verbal communication and presentation skills

  • Track record of successful project/initiative implementations

  • Ability to communicate/present initiatives across all levels of CCA leadership

  • Ability to manage budgets, forecasts, invoices

  • Strong knowledge of Microsoft Word, Excel and Outlook required

  • Experience managing virtual teams for success

Desired:

  • Completing the Mail Design Professional (MDP) training and achieving the MDP certification

  • Broad knowledge of the postal and shipping industry preferred

  • Member of the local Postal Customer Council (PCC) preferred
