Aston Carter Office Manager in Boston, Massachusetts

Office Manager opening for a Private Equity Company in Downtown Boston!

Looking for an experienced Office Manager who is seeking to work within a stable industry for years to come!

Job Description:

  • Serve as executive assistant to the Head of Distribution and others

  • Schedule meetings and maintain the calendar

  • Make travel and accommodation arrangements

  • Act as office receptionist

  • Answer the main phone line

  • Greet visitors

  • Assist with event coordination (quarterly planning sessions, offsites)

  • Daily office upkeep

  • Ensure supplies are stocked and re-order as necessary (pens, paper, notebooks, coffee, etc.)

  • Maintain the office condition and coordinate repairs with the landlord as necessary

  • Coordinate mailing/shipping

  • Assist in developing office policies and procedures and ensure they are implemented appropriately

  • Assist in the onboarding process for new hires

  • Assist with the preparation of reports/presentations for meetings, as needed

  • Take notes/minutes during meetings as needed

  • Role will require working from the office daily

Skills & Qualifications:

  • Some experience as office manager/executive assistant preferred

  • Excellent communication and interpersonal skills

  • Familiarity with MS Outlook

  • Strong organizational and planning skills

  • Ability to multi-task and work effectively in a small team, entrepreneurial environment

  • Demonstrate a high level of personal integrity
