Coordinate and schedule operating room and surgical procedures: Manage the scheduling of surgeries and other procedures in the operating room, ensuring that all necessary resources, including equipment, staff, and patient information, are in place. Collaborate with surgeons, medical staff, and patients to ensure optimal scheduling and minimize delays.
Occasionally manage front desk duties for the Hematology Division: Serve as a primary point of contact for visitors and patients in the Hematology Division. This includes greeting patients, answering phone calls, managing appointment bookings, and assisting with inquiries. Ensure a positive and professional front desk experience while maintaining a smooth flow of operations.
Provide administrative support as needed: Offer a broad range of administrative assistance to the program, including contacting patients to schedule surgeries, preparing and sending faxes, organizing and filing patient records, and scanning and archiving research consent forms. Ensure all tasks are completed in a timely and efficient manner to support the ongoing needs of the department.
Cross-training in various administrative tasks: The Program Coordinator will receive training in multiple administrative areas to enhance flexibility and support within the department. This will include learning different software systems, understanding key workflows, and assisting in other areas as needed to ensure smooth operations across the program.
Update and maintain patient profiles: Regularly update and maintain accurate patient information in the system, including contact details, medical history, and treatment plans. Ensure that all patient records are current and that any updates are promptly entered into the database.
Ensure the highest level of confidentiality in all tasks: Uphold strict confidentiality standards when handling patient information, research data, and other sensitive documents. Adhere to privacy regulations such as HIPAA and institutional policies to safeguard patient privacy and maintain trust in the program.
Serve as a liaison between staff, faculty, and external/community agencies: Foster effective communication between internal teams (staff and faculty) and external partners, including community organizations and other healthcare providers. Assist in facilitating collaboration, addressing inquiries, and ensuring that program goals are effectively communicated and supported by all stakeholders.
Schedule: Monday-Friday, 8-4:30 PM, Hybrid
To qualify, you must have:
Associate’s degree required; Bachelor’s degree preferred.
Minimum of 1 year of relevant experience.
Strong oral and written communication skills, with the ability to demonstrate empathy in challenging interpersonal situations.
Ability to work effectively with diverse internal and external constituencies.
