In collaboration with the Chief of Otolaryngology, the Program Manager will be responsible for support the creation of a Residency Program in Otolaryngology within the Department of Surgery.

Working closely with the Chief of Otolaryngology, the incumbent will be responsible for developing a QA program for the Division of Otolaryngology.

The Program Manager will have oversight of all programmatic initiatives as designated by the Chief of Otolaryngology, CAO and Administrative Director for the Department of Surgery.

Additionally, this role will carry light administrative responsibilities supporting the chief.

This is a full-time role working for Beth Israel Deaconess Medical Center in Boston, MA. Following an initial training period (approximately three months), this position can work partially remote (two days per week).

Job Description:

Develops, implements, manages and evaluates the administrative operations and resources of a program.

Essential Responsibilities:

  • Develops the business plan in collaboration with the program director and leaders. Identifies strategies, objectives, and timetables for the implementation, monitoring and evaluation of the plan. Updates plan as necessary to reflect challenges and the changing needs of the program.

  • Ensures that all program policies and procedures are developed and up to date. Develops program-specific performance measures to assess effectiveness and success of program components. Implements data collection processes and communicates performance through periodic reports to working and executive groups.

  • Promotes program to internal and external audiences. Explores and executes internal and external fundraising opportunities for the program.

  • Develops proposals and costing for program developments and presents to director and leaders for approval. Manages advisory board / council or committee activities. Sets agendas, facilitates meetings and ensures goals and activities are realized.

  • Has the authority to direct and support employees daily work activities. Has the direct responsibility to undertake the following employment actions: hiring, termination, corrective action and performance reviews. Direct Reports: 2-3 Indirect Reports: None

  • Assists in planning, monitoring and/or managing budget in functional area of department.

Department Specific Job Responsibilities:

  • Collaborates with the multidisciplinary team across inpatient, outpatient, administrative, clinical, clinical research and bench research components of the program. Ensures that section activities, records, standard operating procedures and data reporting meeting BIDMC policies and procedures and standards of accrediting, regulatory and reimbursement agencies.

  • Collaborates with the appropriate parties and external vendors to onboard new cellular therapy products. Ensures all pieces are in place for standard of care product to be used; inclusive of compliance, regulatory, revenue cycle, and billing. Develops and maintains SOPs as new products are on boarded and ensures staff have access to appropriate resources and are informed on appropriate processes.

  • Develops and maintains systems and processes that measure the results of work/productivity, volume, patient/staff/provider satisfaction and other work improvement indicators. Prepares and analyzes reports on activities and volume statistics. Ensures outpatient and inpatient billing is submitted timely and accurately.

  • Establishes a network and acts as a resource for patients with regards to education on cellular therapies, insurance, and relevant questions. Helps create and implement training for physicians/nurses/BI staff on various cellular therapy management initiatives.

Required Qualifications:

  • Bachelor's degree required. Master's degree preferred.

  • 3-5 years related work experience required and 0-1 years supervisory/management experience required

  • Experience in program development and implementation.

  • Advanced skills with Microsoft applications which may include Outlook, Word, Excel, PowerPoint or Access and other web-based applications. May produce complex documents, perform analysis and maintain databases.

  • Customer Service: Ability to lead operational initiatives to meet or exceed customer service standards and expectations in assigned unit(s) and/or across multiple areas in a timely and respectful manner.

Physical Nature of the Job:

  • Sedentary work: Exerting up to 10 pounds of force occasionally in carrying, lifting, pushing, pulling objects. Sitting most of the time, with walking and standing required only occasionally.
