City Winery Sales and Events Manager in Boston, Massachusetts

Position Summary

The Event Sales Manager is responsible for soliciting private event business, event planning, and providing overall end to end support to clients for all City Winery events. This role is responsible for developing, organizing, and managing events from point of contract through hands-on execution of the event. This individual must have the ability to successfully materialize the vision of the client, exceeding expectations at every opportunity and maintain long-term client relationships throughout and after planning.

Minimum Qualifications

  • 5+years’ experience in event sales/management or equivalent relevant experience

  • Provenbackground in strategizing and executing on-premise events

  • Strongcustomer service orientation skills

  • Provenrevenue and budget management skills

  • Exceptionalattention to detail, organizational skills, and results oriented

  • Knowledgeof practices and procedures of on-premise events

  • Abilityto negotiate, influence and sell prospective clients

  • Proficiency in MicrosoftOffice; Word, Excel, PowerPoint, Outlook

  • Professional andeffective interpersonal, leadership, and communication skills, both written andoral

  • Appreciation and generalunderstanding of the music, food, and wine business

  • Ability to work flexibleschedule including nights, weekends, holidays if needed due to events

  • Bachelors degreepreferred

Responsibilities

  • Creatively sell all event spaces in alignmentwith budgets

  • Curate, coordinate, and manage designatedevents from point of contract to hands-on execution

  • Develop and maintain long-lasting clientrelationships and positive brand impressions

  • Maintain correspondence and handle all detailsof event with client throughout event preparation and execution to ensureclients’ needs are met and/or exceeded

  • Utilize appropriate documents from EventDirector and client to create and maintain physical file for each event

  • Create organized and detailed Banquet EventOrders (BEOs) to be passed along to other departments (i.e. Front of House,Kitchen, etc.) to ensure smooth execution the day of event

  • Work directly with Executive Chef, WineryDepartment, GM and FOH Managers to secure event needs for execution

  • Schedule and conduct site tours withprospective clients, and confirmed clients to arrange and confirm detailspertaining to every element of the event

  • Find opportunities to “Up Sell” (Custom LabelWine, beverage upgrades, menu upgrades, etc.)

  • Create addendums for any additions to theoriginal contract

  • Participate in weekly event productionmeetings to communicate the BEOs to team

  • Collect all payments (including deposit,balance and addendum) and correspond with Accounting Department when necessaryto facilitate and ensure receipt of payments

  • Oversee event set-up and introduceclient/on-site contact to Front of House Manager(s) facilitating particularevent

  • Be available for questions during event set-upand check in on event periodically

  • Establish and maintain department filingsystem to ensure efficiency and organization (upcoming events, events inprogress, completed events, beverage logs, etc.; archive files as appropriate)

  • Maintain existing department resources (menus& descriptions, wine & beer lists, wine tasting notes, vendorresources/catalogs, etc.)

  • Maintain a well articulated and properlydetailed working BEO in TripleSeat and communicate with other departmentsthroughout the planning process.

  • Create and analyze monthly and weekly EventDepartment Revenue vs. Cost Report

  • Other duties, projects, tasks as per businessneed
