Boston Properties Tourism Coordinator in Boston, Massachusetts

Primary Purpose of Position:

Champion and support tourism marketing efforts at Prudential Center. Serve as point-of-contact for customers and tourism partners, educating them on partnership opportunities and upcoming initiatives with the goal of enhancing the customer experience and promoting Prudential Center as a premier retail destination. Ensure day-to-day operational efficiency of concierge services provider.

Essential Functions:

Tourism

  • Act as a liaison and touchpoint between all shoppers, visitors, tourism partners, Center vendors, and Prudential Center Management.

  • Assist Tourism Manager with outreach to area tourism and hospitality professionals, attending industry events, and meetings as needed.

  • Collaborate with Convention Center Authority and tourism boards acting as the Prudential Center liaison for incoming conventions assisting with any marketing requests and connecting with retailers as needed.

  • Assist with the execution and implementation of retail/office/tourism related marketing, events, promotions, and social media communications as delegated by the Marketing Department.

  • Utilize data from visit tracking software, parking validation, and convention reports to create monthly reports tracking trends for Center marketing and property management team’s review.

  • Create weekly reports from the concierge service provider’s end of shift reports on desk functions and customer interactions to gauge success of marketing initiatives and better understand traffic trends.

  • Provide support on tourism focused projects and events throughout the Boston region (e.g. The Hub on Causeway).

Management

  • Act as BXP lead on the Prudential Center concierge service contract, ensuring execution of annual marketing strategy, training program, operational protocols, and conformity with annual budget.

  • Oversee concierge service provider in their execution of day-to-day operations, to include staffing and scheduling, ensuring contracted services conform to contract requirements.

  • Collaborate with concierge service provider on annual goal setting, staff training, and planning and execution of quarterly concierge staff meetings and outings.

  • Attend and participate in pertinent meetings including, but not exclusive to, weekly retail staff meetings, weekly marketing meetings, annual retail meetings, and quarterly Concierge staff meetings.

Operations

  • Enhance retailer relations by corresponding with retail managers on a weekly basis and communicating all comments, needs and initiatives to Prudential Center Management.

  • Serve as resource to concierge services provider as needed with customer inquiries and concerns received through in-person interactions, phone calls, emails, or the Prudential Center website. Collaborate with relevant team members as necessary to reply to these inquiries in accordance with established company protocols and guidelines.

  • Manage Concierge Desk media wall and retail digital signage, including scheduling, uploading of advertisements, and troubleshooting technical issues.

  • Oversee production and inventory of tourism and concierge marketing materials distributed via digital signage brochure panels and at the Concierge Desk.

  • Coordinate and track all garage signage updates and promotional marketing material needs.

Region/Building Specific Functions:

  • Provide staffing assistance for Prudential Center public and office client-related events.

  • Perform other duties as assigned.

Requirements and Qualifications:

  • BA/BS required.

  • A minimum 2 years of customer service, hospitality, tourism or retail experience required.

  • Previous supervisory experience preferred.

  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.

  • Proficiency in business use of social media platforms, including Facebook, Twitter, and Instagram.

  • Excellent oral and written communication skills.

  • Professional in demeanor and appearance.

  • Ability to simultaneously handle multiple priorities and tasks.

  • Adept in handling difficult personalities in various situations.

  • Flexibility with work schedule as work on nights and weekends is required.

Physical Requirements:

  • Involves standing and sitting for various lengths of time to answer customer questions and/or answering phones.

  • Occasionally required to lift and/or move up to 25lbs.

  • Involves walking and touring in and around the general vicinity of the Prudential Center and surrounding neighborhoods.

  • Involves movement between departments to facilitate work.

Reporting Structure:

This position reports directly to the Tourism Manager, who provides daily supervision and guidance, and coordinates, evaluates and monitors work performance on a periodic basis. This position assists the Marketing and Retail teams as needed.
