Vitra Health Administrative Assistant - Caregiver Services in Braintree, Massachusetts

Essential Functions:

  • Maintain a working knowledge of all company service offerings

  • Input biweekly billing and transfer to billing coordinator for processing

  • Transfer/quality check billing against authorizations in Provider Direct

  • Assist with all compliance with client and team member charts

  • Assist with Software implementation and transfer into new systems

  • Monitor PPE usage and ordering for the department and help with the distribution

  • Partner with HR team to ensure compliance with team member certifications and required training

  • Clerical duties including, but not limited to, scanning, uploading, and transferring client and team member information

  • Answer, document, and dispatch incoming calls in a prompt, friendly, professional manner

  • Maintain all client and team member information in software systems

  • Review all incoming medical documentation for the fulfillment of program requirements

  • Document all efforts in patient tracking software

  • Assist with communication with community partners and represent the Vitra standard of quality in all interactions

  • Other duties as assigned

Requirements:

  • 2+ years of experience in administrative, scheduling, coordination, customer service, or relevant position required

  • Previous experience in healthcare and working with medical terminology preferred

  • RingCentral or other online faxing system familiarity preferred

  • Experience with Hubspot or other CRM systems preferred

  • Microsoft Suite and Google Suite proficiency required

  • Outstanding written and verbal communication and customer service skills, with close attention to detail

  • Able to work independently, demonstrating sound judgment with limited oversight
