Chan School of Public Health to support our mission of health research and education, and to be a part of the oldest institution of higher learning in the country!Department:Dean's Office AdministrationPre-Employment Screening:Identity Job Function:General Administration Job-Specific Responsibilities:The Senior Executive Assistant is a key member of the administrative team in the Dean's Office, serves as the first point of contact for the Dean, and supports a range of duties to ensure daily operations are executed seamlessly for the Dean.

Duties and responsibilities include, but are not limited to, the following:

  • Highly complex scheduling and calendar management -- including proactively managing the day-to-day activities of the Dean, as well as the scheduling of meetings with both internal and external constituents, boards, and committees

  • Arranging travel, including international and domestic flights, hotels, and other logistical needs

  • Acting as the primary, administrative point of contact for the Dean of the Faculty, fielding calls and emails as appropriate and reviewing, assessing, routing, answering and monitoring follow up action steps on correspondence

  • Tracking and triaging of follow ups both to completion and in a timely fashion

  • Collecting and reviewing meeting agendas, and briefing materials and talking points (as needed) to ensure that the Dean is fully briefed and prepared in advance of any commitment

  • Drafting, editing and proofreading of correspondence and maintaining a system of archive for reference

  • Assisting with corporate card reimbursements, travel and expense reconciliation, and other financial activities

  • Coordinating in symmetry with other members of the Dean’s Office staff and other offices and units around the School and University

  • Assuming responsibility for special assignments at the request of the Dean, the Chief of Staff and/or the Administrative Director

  • Other duties as required
