ADMINISTRATIVE ASSISTANT 2, Mechanical Engineering (MechE), to provide administrative support for up to four faculty members. Will greet visitors and guests; process travel expense vouchers and requests for payment and pay invoices; generate journal vouchers and purchase orders and manage an Institute procurement card; assist with class preparation; implement or maintain the office filing system; assist with the preparation of grant proposals and budgets; monitor and reconcile accounts; arrange meetings, set up appointments, and plan events; respond to inquiries; edit documents; assist with academic appointments; provide telephone coverage; purchase office supplies and equipment; make complex travel arrangements; and handle other general office duties as needed.

Job Requirements

REQUIRED: a high school diploma or its equivalent; at least three years of administrative, office, or related experience; excellent interpersonal, communication, organizational, and word processing skills; meticulous attention to detail; good judgment, tact, and discretion; experience arranging travel, paying invoices, and ordering supplies; and proficiency with Microsoft Office, experience updating websites, and willingness to learn new software. Must be able to work effectively with people at all levels and from varied backgrounds; learn quickly and work within critical time demands and often under pressure; handle multiple tasks simultaneously; work independently and as part of a team; and prioritize and problem solve.
