Department:Alumni Affairs & DevelopmentPre-Employment Screening:Education, IdentityJob Function:Alumni Affairs and Development, General AdministrationJob-Specific Responsibilities:The Executive Director, reports to the AVP, Alumni Affairs & Development (AA&D) Resources & Chief Operating Officer, leads four resource teams for central AA&D including Operations and Business Process, Creative Services, Events, and Research and Prospect Management. The Executive Director is responsible for developing and directing the efficient, effective, and results-oriented implementation of AA&D Resources Strategic Plan, managing and strengthening partnerships with all stakeholders, and ensuring the effective integration and alignment of AA&D Resource teams support for the organization. Will lead a management team of approximately four Directors/Sr. Directors of AA&D Resources and a total team of 90 individuals including support staff. The Executive Director is responsible for creating the AA&D-wide strategic planning framework to be used by senior leadership and all departments, the strategic plan reporting (progress to goals), and ensures timely review of the plans. AA&D is looking for a leader who can work effectively across a complex, multi-dimensional organization.
Duties & Responsibilities:
Leads four resources teams, Operations and Business Process, Creative Services, Events and Research and Prospect Management. As manager of these teams, the Senior/Executive Director provides leadership, sets and evaluates individual goals as well as departmental goals, develops and sustains appropriate training, and mentoring, and assigns and monitors coverage of primary areas of focus.
Partners effectively with the other three resources teams reporting into the AVP/COO, AA&D Technology & Support Services, Alumni and Development Services and Administration and Finance.
Leads the effective use of Work Front, a project and resource management tool, across AA&D.
Working with the AVP/COO creates the infrastructure for AA&D’s annual planning process and helps to ensure process is being implemented across the organization.
Working with his/her leadership team to develop and execute annual operating plans designed to support a set of broad fundraising priorities articulated by the VP of Alumni Affairs and Development and members of the AA&D Executive Team.
Creates and produces key metric reporting for AA&D leadership teams to promote transparency and effective communication from Resource teams.
Leads the creation of AA&D-wide policies and procedures and partners with unit leadership to evaluate work processes leading to effective p&p’s and use of staffing resources.
Work with central AA&D and University partners to prioritize projects and provide realistic guidance on timeline based on team capacity, staff skill sets, organizational priorities.
Responsible for working with AA&D leadership to develop and implement strategies that ensure alignment between the support teams and AA&D business units. With the Senior Management Teams, provides leadership in developing and implementing short-term and long-range strategic plans to support the goals of the overall organization.
Working with the University Development Office’s Initiative team, determines the Resource team requirements to support University fundraising initiatives.
Create a productive environment for multi-teaming on projects, including consistent project management approaches for the use of Work Front.
Creates an environment of continuous improvement based on partner collaboration and feedback.
Leads the strategic use and up-keep of the Source, AA&D’s intranet.
Establishes policies, procedures, and programs that support the AA&D Resource functions.
Builds protocols for a formalized Project Management Office (PMO).
In the absence of the AVP/COO, this role will oversee AA&D Resources.
Leverages her/his management team to support staff in achievement of goals.
