Position: Assistant Facilities Manager

Location: Cambridge MA

Duration :3+ months

Pay Rate: $40/hr on W2

We are looking for an Assistant Facilities Manager to join one of our Fortune 500 Real Estate clients.

Position Overview:

The Facilities & Operations Coordinator is responsible for developing and maintaining positive relationships with the greater facilities and operations team. This includes collaborating with vivarium operations, lab managers, union technicians, and third-party service providers. The role involves overseeing and coordinating maintenance and repair work assignments performed by technicians, vendors, and contractors, ensuring timely and quality service delivery, and maintaining client satisfaction.

Key Responsibilities:

  • Develop and maintain positive relationships with the greater facilities and operations team, including vivarium operations, lab managers, union technicians, and third-party service providers.

  • Oversee and coordinate maintenance and repair work assignments performed by technicians, vendors, and contractors. This includes building maintenance, landscaping, and janitorial work.

  • Respond to client inquiries and concerns. Ensure timely and quality service delivery, and follow up with clients to ensure customer satisfaction.

  • Perform facilities inspections and prepare detailed reports.

  • Coordinate and manage move, add, and change activities as needed.

  • Assist in the preparation of operating and capital budgets, ensuring alignment with financial objectives.

  • Manage vendor relationships, train vendors on work order and billing procedures, process invoices, and ensure proper cost center coding.

  • Review periodic reports, including financials, and explain variances. Collaborate with the finance team to correct any errors.

  • Utilize PC and/or mobile phone for work order systems, email, and process/procedure training.

Qualifications:

  • 2+ years of project management or facilities management experience in regulated environments such as hospitals/healthcare, life sciences/pharmaceuticals, or other critical environments.

  • High School Diploma required.

  • Intermediate skills with Microsoft Office Suite, Outlook, and intranet/internet. Ability to effectively use work order systems.

Top Must-Have Skills:

  • Demonstrate leadership and responsiveness.

  • Strong problem-solving abilities, particularly in creating service solutions.

Top Nice-to-Have Skills:

  • Previous experience with vendor and work order management is preferred.
