Microsoft Corporation Business Operations Associate in Cambridge, Massachusetts

The US Healthcare & Life Sciences Industry Operating Unit (“HLS”) is part of Microsoft’s Regulated Industries segment. We are accountable for leveraging deep industry and technical expertise to enable sales, business development and partner teams to deliver relevant, high-quality solutions and services to empower our Healthcare customers to digitally transform their businesses.

Our mission is to lead the healthcare industry on their secure, digital transformation. The Business Operations Associate will assist the HLS Business Operations team achieve operational excellence by executing key business processes and operations in addition to the administrative functions that support our 850-plus person national sales & support organization. You will be working closely with the HLS Chief of Staff & Operations and Office of the Vice President, in addition to our General Managers and leadership team to support our large and growing organization. You should have a blend of organizational, communications, program management and business analytics skills to successfully support both the Chief of Staff & Operations, Business Management & Admin team, and the HLS leadership team.


Human Capital Management Support

  • Managing Position Control Numbers (PCN’s) for an 850+ person organization, including opening Job requisitions for hiring roles.

  • Interface with the Global Talent Acquisition team to assist managers with the hiring process.

  • Manage processes for onboarding new employees including ordering new devices.

  • Assisting the COO/Chief of Staff with the organizational blueprint, including reporting against hiring and maintenance of role changes in HR systems

  • Work with managers on people moves, terms, title changes, etc

  • Assist with maintaining the employee address list.

Budget Management and Reporting

  • Assist the COO/Chief of Staff and Finance Manager with OPEX budget reporting and maintenance.

  • Monthly processes to ensure GMs understand their employees spending and avoid surprises.

  • Assist with tracking and reporting on variable spend in marketing and other areas.

  • Assist with the End Customer Investment Funds spending and tracking.

Device Management

  • Order PC and related equipment for new hires

  • Maintain our hardware assets database.

  • Work with the device management team to do monthly PC refreshes.

Communications Management & Process/Procedures

  • Maintain the HLS e-mail distribution lists

  • Manage Teams memberships and SharePoint, and related access & organization.

  • Assist the HLS Business Managers with list requests and related items needed for communications, meetings, and other lists and operations infrastructure.

  • Assist Business Managers with organizing out intranet portals, process & procedures manuals

Purchasing Management

  • Open Purchase Orders for business spending needs

  • Assisted with SOWs and related purchasing and proof-of-execution documents

  • Ensure spending on POs against forecast


  • Able to handle high-level, complex and time critical internal and external escalations across a broad range of topics

  • Strong interpersonal skills, cross-boundary collaboration skills, open and honest feedback, and interaction

  • Always proactive, forward thinking

  • 5+ years of proven marketing, business analysis, business management or finance experience preferably in a technology organization, with experience across multiple disciplines

  • Experience working with HR processes for hiring (PCN, req’s, blueprint, etc.) preferred.

  • Proven effectiveness driving complex multi-stakeholder planning processes, driving cross-team programs to desired results, and managing risk

  • Ability to rapidly gain/build trust and confidence of internal and external stakeholders

  • A growth mindset

  • Strong aptitude working with numbers, with an analytical ability, problem solving, and critical thinking skills is required.

  • A Bachelor’s Degree in a Business or related discipline, and/or 5+ years relevant experience is required.
