Additional Qualifications and Skills:This position requires a self-starter with excellent organization, project management, communication, and interpersonal skills. The candidate should have good professional judgment, know when to ask questions, when to take initiative, and how to prioritize work in an environment with multiple and often conflicting interests. The ideal candidate possesses the integrity to handle confidential information with discretion and the initiative and confidence to work independently. Strong problem-solving skills, attention to detail, and customer service skills are essential. Requires strong proficiency in using technology to support administrative, database and communications functions.Additional Information:This is a 40-hour/week, overtime-eligible position.

This role is offered as a hybrid (some combination of onsite and remote) where you are required to be onsite at our Boston, MA-based campus 3 days per week. Specific days and schedules will be determined between you and your manager.

  • Manage and optimize business and operational processes, with a particular focus on department-wide financial processes (e.g., purchasing, forecasting, reporting), serving as “in-house” expert on related systems and tools.

  • Conduct periodic financial tracking and other analyses in conjunction with the director to provide ongoing information about departmental impact and outputs.

  • Support and streamline elements of recruiting and hiring processes for new hires (FTE and Contingent); manage arrival and departure process. Develop onboarding structure to educate incoming staff members about BiGS/Initiatives community and business practices.

  • Manage reporting and compliance requests from HR and Finance, working with the Director, and serve as a departmental liaison in School-wide Business Manager and HR Partners meetings.

  • Manage event planning for department-wide meetings. Activities include room scheduling, catering logistics, media and technology services, vendor management, and publicity and marketing. When partnering with colleagues on HBS-wide events, the Coordinator will support communication and coordination between Initiatives and other departments.

  • Manage special projects based on the evolving needs of the BiGS/Initiative teams. Potential projects may relate to department-wide operations, cross-School collaborations, and unique group-specific opportunities.

  • Serve as first-line contact for people interested in connecting with the department. Field direct inquiries regarding programming and activities.

  • May oversee work of support staff, students, and/or contingent staff (as needed).

  • Identify additional opportunities to systematize, optimize, and maintain administrative support across groups.

  • Work with Assistant Director of Constituent and Community Engagement to develop, implement, and maintain tools and processes to support cross-departmental learning, communication, and operations, including the development of resource sites on MS Teams to manage departmental records and communication lists.

  • Serve as office manager working with teams as needed on activities such as space allocation, facilities issues, and serving as first-line contact for operational staff inquiries.

The Coordinator of Business Operations optimizes and supports the core operations, infrastructure, and activities of the BiGS/Initiatives department, reporting to the Director. They also support selected cross-cutting projects and efforts in coordination with the Associate Director, Technology and Strategic Operations and/or the Assistant Director of Constituent and Community Engagement.
