Department:ERLPre-Employment Screening:Identity Job Function:General Administration Position Description:

Executive Leadership Administrative Support: Responsible for the execution of critical administrative support for the EdRedesign Faculty Director, Executive Director, and Deputy Director including: travel bookings, processing and editing email correspondence, scheduling meetings with key external stakeholders and the EdRedesign staff team, collecting agenda items, taking notes, preparing materials, and related administrative support. Work on ad-hoc projects, as assigned by the EdRedesign Executive Director. Schedules organizational-wide meetings. May supervise interns.

Events Support: Work in collaboration with EdRedesign’s events and finance team to support the planning/organizing of a moderate portfolio of events that includes but is not limited to external convenings with practitioners and partners in the field, staff events, and so forth. Logistical work includes supporting marketing/publicity, event timelines, room scheduling, catering, room setup/cleanup, arranging for and/or providing technical/AV assistance and audio-visual needs, travel arrangements, preparation of materials, drafting event-staffing plans, and other logistics, working closely with staff as needed. Some events are organized in partnership with the other external partner organizations.

Payroll, Expense Reports, and RA Hiring: Responsible for expense reports for EdRedesign Faculty Director, Executive Director and Deputy Director. Lead the processing of the required paperwork for hiring of student research assistants at the start of each semester, as well as at the beginning of the summer. Also oversees weekly payroll processes and procedures and speaker honorarium payments.

Onboarding/off-boarding: Supports the Executive Director and EdRedesign Finance and Events team in all onboarding/off-boarding processes of administrative operations. Under the guidance of the Executive Director, works with the building operations team to ensure adequate furnishings for faculty and staff offices. Coordinates the moving/removal of furniture and all aspects of office furnishing/maintenance/repairs for the entire department.

Equipment Coordination: Support the EdRedesign administrative team with relevant IT tasks including: serving as a liaison for computer refresh, repairs, and maintenance, inventory equipment maintenance and, working closely with HGSE and HUIT. Reports issues/problems and works with the appropriate constituents on prompt and adequate resolutions. Serves as a liaison for all aspects of copiers, ordering supplies, machine maintenance/repairs, etc.

Office Maintenance: Support the EdRedesign administrative team with the neat appearance and general upkeep of the reception, kitchen, closets, and resource areas. Provides support in the general inventory of supplies, keeping them organized, well stocked, and accessible. Periodic support in purchasing supplies and related expense reports. Works closely with and serves as liaison with the Building Operations team on building-related matters.

This is a one year term position with possibility of renewal.

Job Summary

Reporting to the Executive Director of the EdRedesign Lab at Harvard Graduate School of Education, the Executive Coordinator performs a wide range of complex, often confidential, administrative and clerical duties to support the growing organization. The position will also support a growing portfolio of programmatic, community-building, and faculty/staff events. The position communicates with and provides services to a wide range of internal and external constituents. It anticipates and resolves general administration/operations problems and updates the Executive Director on the status of assigned and ad/hoc projects. May oversee the work of students, casual workers and temps.
