HealthFitness Coordinator of Membership and Operations in Cambridge, Massachusetts

Harvard Recreation, managed by HealthFitness, is hiring for a full-time Coordinator of Membership and Operations.

Coordinator of Membership and Operations, Cambridge, MA

Customer facing role in Harvard Rec's membership office with staff supervisory responsibilities at the rock wall

This unique position reports directly to the Assistant Director of Membership (75%) and the Assistant Director of Facilities & Operations (25%) to ensure the Harvard Recreation community is being served to the highest of standards. Tasks include strong customer service delivered to members, assisting with departmental tasks, general administrative product orders and oversight of part-time staff. The Coordinator of Membership & Operations will work a schedule in conjunction with the Assistant Director of Membership to cover office hours 11:00am – 7:00pm Tuesday – Friday and 9:00am – 5:00pm on Saturdays. Additional weekends and evenings are required as needed.

Membership Office Responsibilities

  • Answers phone calls and properly directs inquires. Checks emails and responds to questions about memberships or anything related to Harvard Rec usage.

  • Conducts membership, add-on services, and locker rental sales within the Membership Office. Creates visitor passes for various programs at Harvard.

  • Works on the back end of Fusion to make updates for group ex, tennis, squash, and other programs.

  • Creates financial reports of all membership and product sales from all facilities.

  • Periodically updates website information related to membership.

  • Assists Club Sport and Intramural staff with facility access within Fusion for the club/intramural coaches.

  • Oversees nightly locker clear out and lost and found procedures.

  • Helps process approved membership refunds.

  • Assists front desk with membership questions and computer troubleshooting (Fusion, CC machine, GX Check-In).

  • Consolidates end of day receipts to be given to the Assistant Director of Membership.

  • Other duties as needed/assigned.

Harvard Recreation Rock Wall Oversight

  • Accountability of the Harvard Recreation rock wall operations.

  • Oversight of Harvard Recreation rock wall staff, including hiring of staff, payroll, scheduling, training, and employee documentation oversight.

  • Responsible for general upkeep, cleanliness, and safety of the Harvard Recreation rock wall, when it is in operation by recreation.

  • Oversight of supply, inventory, and cleaning equipment to ensure successful rock wall operations.

  • Enforcement of Harvard Recreation rock wall rules & policies.

  • Other duties as needed/assigned.

Service Responsibilities

  • Supports Assistant Director of Facilities & Operations with management of front desk staff. Assists with onboarding, training, and in-service opportunities.

  • Other duties as needed/assigned.

General Administrative Duties

  • Meets weekly with Assistant Director of Membership and Assistant Director of Facilities & Operations to discuss updates on tasks/projects.

  • Runs weekly inventories for all front desk’s items for sale (Mac, Hem, QRAC).

  • Keeps track of departmental receipts from administrative purchases.

  • Responsible for scheduling the MAC conference rooms, which includes the recreation and varsity space.

  • Adds Accident & Incident Forms to the online department drive.

  • Updates the administrative information of recreation staff.

  • Other duties as needed/assigned.

Role Requirements:

  • Associate’s degree with 3+ years of related full-time experience and a minimum of 2+ years of customer service experience.

  • Adult CPR/AED and First Aid certification (in-person or hybrid) from American Red Cross, American Heart Association or American Safety & Health Institute required within 30 days of hire (can certify onsite).

  • Experience with Microsoft Office applications such as Word, Excel, and Publisher. Ability to navigate electronic onboarding and timecard systems and membership software (Innosoft Fusion) required.

  • Strong interpersonal communication and customer service skills including the ability to motivate others and effectively organize and prioritize work demands

  • Competency in the delivery of HealthFitness and site-specific programs and services. Can work effectively with all levels of individuals both within HealthFitness and the client organization.

  • Ability to work effectively both independently and as part of a team with enthusiasm, initiative, and creativity.

  • Must possess excellent organizational and time management skills.

  • Ideal applicants may possess a Bachelor’s degree in sport management, recreation, student affairs, or related field and/or experience working in campus recreation, collegiate athletics, or recreation/fitness.

Compensation: $50,000 - $53,000 annually. Pay is dependent on experience and qualifications.
