Masters’ degree in Business Administration, Management or related field preferred. Experience in an institution of higher education. Comprehensive knowledge and understanding of United States Postal regulations, and operating guidelines as they relate to higher education.

A minimum of ten years progressively responsible experience in management, which includes significant administrative responsibility and staff supervision. Knowledge and understanding of budget procedures with the ability to analyze and interpret “benchmarking” statistics, and prepare reports, statements and/or projections. Experience supervising and training employees, including recruitment, professional development, and performance management in a union environment required. Excellent communication and professional skills, strong interpersonal skills and the ability to work effectively with a diverse range of constituencies. Proven ability to work effectively in a fast-paced, team-oriented environment while maintaining the highest standards of accuracy and customer service.

Additional Qualifications and Skills:

Technology Skills Required: Skill in the use of software to quantify and illustrate complex financial data, comparisons, impacts, and/or projections. Will be required to be proficient in all Mail Services software systems and must be willing to supplement technical knowledge with career development training courses.

Special Requirements: Travel for this position may be required to attend industry conferences and training sessions. CMDSM ,EMCM, MDP and MDC certifications desirable.

  • Directs the strategic planning, management, coordination of all operations for Mail and Distribution Services, including long term planning and business development.

  • Oversees the department’s annual budgets to include planning and monitoring of expenditures.

  • Analyzes expenditures to maximize current and/or future cost savings and efficiencies.

  • Plans and implements strategies for generating revenue and resources for Mail and Distribution Services. Develops and communicates the department’s value proposition to build a strong presence in the Allston, Boston and Cambridge campuses.

  • Oversees the planning of annual rates for each business line, making sure cost recovery and in line with operating budgets.

  • Prepares scheduled, annual and ad hoc reports on the department’s activities and projects.

  • Sets policies and procedures for Mail and Distribution Services according to Transportation Services, and Campus Services’ guidelines.

  • Provides on-site leadership and supervision for Mail and Distribution Services ensuring customer service standards are maintained at all locations and in all services.

  • Maintains dynamic, real time metrics for measuring the success of assigned projects for Mail and Distribution Services. Identifies and captures relevant performance metrics and uses the information to identify trends, driver change and assess progress.

  • Ensures “best practices” are created and followed throughout the Mail and Distribution Services department, with all units are trained accordingly.

  • Conducts ongoing analysis of the Mail and Distribution Services department’s procedures to determine how processes and protocols may be streamlined, new programs developed, and department resources can be most effectively deployed.

  • Researches, develops and leads innovative programs and services to ensure Mail and Distribution Services has a strong presence in the industry.

Job Summary:

Reporting to the Managing Director of Transportation Services, the Director of Mail and Distribution is a senior management position overseeing Harvard University’s mail and delivery logistics operations. The position directs the strategic planning, management, coordination of logistics and evaluation and development of policies and procedures for a department with a total operating budget of over $4.2 million. Specific responsibilities include: Maintaining and updating multi-year strategic plans for the Mail and Distribution Services’ multiple business lines; including, delivery of mail and materials, library courier, mail center management, student mail forwarding and the in-house mail and print operation. This position oversees the management of the annual operating budgets, quarterly projections as well as development of plans and allocation of resources.
