  • 6+ years of relevant experience is required, including 3 years in professional work experience in direct full-time event planning is required.

  • High School Diploma, GED, or equivalent is required. Education beyond high school may count toward experience.

  • Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience is a must.

Additional Qualifications and Skills:

  • Bachelor’s degree preferred.

  • Demonstrated experience with a wide variety of small and large-scale events.

  • The ability to multitask, meet deadlines, work independently, remain calm under pressure, communicate effectively and articulately, and attention to detail are essential.

  • Must be highly motivated and energetic; demonstrate a high degree of judgment, problem-solving and resourcefulness; have a commitment to quality and high expectations; and excellent customer service skills.

  • Ability to organize, conceptualize and prioritize objectives, and be assertive and persuasive without being aggressive.

  • Ability to manage multiple responsibilities and deadlines in a fast paced and demanding environment, while exercising a high degree of diplomacy, discretion and creative problem solving.

  • Experience in leading and supervising support staff not under their direct reporting structure.

  • Excellent people skills and demonstrated ability to build positive relations with a diverse constituent base.

  • A demonstrated commitment to teamwork and inclusiveness.

  • Experience with campus calendaring, event management, and room scheduling software is preferred.

Additional Information:This is a 40-hour/week, overtime-eligible position.

This is a hybrid position which we consider to be a combination of remote and onsite work at our Boston, MA based campus. HBS expects all staff to be onsite 3 days per week and departments provide onsite coverage Monday – Friday. Specific hours and days onsite will be determined by business needs and are subject to change with appropriate advanced notice.

  • Support a “one-stop-shop” event management philosophy by overseeing the coordination of support services for a variety of meetings, events, and conferences including: facility scheduling, room set-ups, equipment rentals, catering, security, media services, parking, day-of event operations, and other pertinent event elements for internal and external clients.

  • When needed, provide guidance, and serve as a resource to event sponsors regarding aspects of planning to be addressed in the process of developing and executing an event, but the sponsor will directly manage.

  • Supervise staff, contractors, and vendors by ensuring logistic plans are executed appropriately.

  • Work collaboratively with internal and external service providers to ensure delivery of services is consistent and professional. Provide up to date and accurate information on events to all service providers.

  • Communicate campus policies and procedures that support and promote appropriate space usage and successful campus events. When applicable, communicate and ensure adherence to local and state regulations as well.

  • Incorporate innovative technologies, best practice documents, and event planning templates to improve delivery of internal services, help guide campus planners, and create efficiencies across all constituents.

  • Initiate meetings with campus event owners to ensure planning details for upcoming events are communicated properly and implemented effectively, offering suggestions and guidance when appropriate and providing quality customer service, ensuring high levels of guest satisfaction for event attendees and speakers.

  • Assist in optimizing space utilization in all current and new campus facilities.

  • Conduct on-site reviews of facilities with event owners, ensuring the physical environment meets the event vision.

  • Maintain a presence during assigned events as needed to support the planned and unplanned needs of the event owners and guests.

  • Assist in maintaining relevant performance metrics in relation to campus events.

  • Staff and assist with the execution of large campus events when needed.

  • This role is responsible for other duties as assigned.

The incumbent will work with colleagues and stakeholders to plan, organize and implement a variety of events to support the academic mission of the school.
