Position: Event Support Specialist

Location: Cambridge, MA

Duration :3+ months

Pay Rate: $35/hr on W2

We are looking for an Event Support Specialist to join one of our Fortune 500 Real Estate clients.

Job Summary: Under the direction of an Event Planner or Coordinator, the Event Support Specialist provides comprehensive hospitality and logistical support for events at Harvard, ensuring smooth operations and a positive experience for participants and guests. This role involves assisting with event ticketing, registration, seating, and distribution of print or electronic materials, as well as managing welcome desks and providing guest services. The Specialist may also assist guest speakers with AV and presentation materials, ensuring all logistical details are in place.

Key Responsibilities:

  • Assist with the planning and execution of events, including room reservations, media services, catering, and AV setups.

  • Provide support at welcome desks, ensuring the smooth flow of event logistics and guest services.

  • Assist with event ticketing, registration, seating arrangements, and signage distribution.

  • Collaborate with the Events Strategy Team, contributing to event planning, decision-making, and post-event debriefs.

  • Support virtual events, helping with virtual participation in physical events and managing online interactions.

  • Coordinate with guest speakers and presenters, ensuring their materials are prepared and available for distribution or presentation.

  • Work with the Communications team to promote events through email campaigns, social media, posters, and internal communications.

  • Conduct outreach to other university centers, departments, and external organizations to enhance collaboration and diversity of voices in events.

  • Ensure punctuality, professional appearance, and adherence to event schedules, while maintaining a high level of organization and communication throughout the event.

Qualifications:

  • Previous experience in event planning or support, preferably in a business, nonprofit, or academic setting.

  • Strong organizational skills and the ability to manage complex, large-scale events.

  • Excellent communication skills and ability to collaborate with event staff, speakers, and participants.

  • Friendly and professional demeanor when interacting with guests and participants.

  • Ability to follow direction, maintain awareness of event schedules, and handle last-minute changes with ease.

  • Familiarity with AV setup and virtual event coordination is preferred.

  • Strong attention to detail and ability to manage multiple tasks simultaneously.

Requirements:

  • Punctuality and professional appearance.

  • Ability to work effectively under pressure during events.

  • Flexibility to work during evenings and weekends when events are scheduled
