    Job Description

EVENTS AND PROJECTS COORDINATOR, MIT Quest for Intelligence (https://quest.mit.edu/) , to manage the planning, organization, and execution of in-person, hybrid, and virtual events, meetings, conferences, and seminars; and coordinate student-related projects and activities. Responsibilities include reserving space, establishing deadlines, identifying needs/goals, and informing stakeholders of progress; identifying, selecting, and coordinating with vendors; acting as primary point of contact for and serving as on-site event concierge to participants and faculty; managing speaker travel arrangements and reimbursements; managing post-event activities and ensuring action items are complete; supporting the senior development officer with activities needed to secure resources, including preparing documents and briefings, requesting invitation lists, and analyzing and reporting on metrics; coordinating with colleagues in Resource Development to identify new prospects for the Quest and identify and implement engagement strategy; assisting with communications projects, drafting text and creating designs for email announcements/invitations, creating announcements, tracking audience engagement, curating email lists, etc.; supporting the Corporate Partnership program by coordinating with organizations, preparing meeting materials, researching organizations, identifying cultivation plan, etc.; finding new and innovative ways to move the Quest forward and achieve its goals; and performing other duties as directed.

Job Requirements

REQUIRED: bachelor’s degree; two years’ events planning experience; proactive approach to projects, problem-solving, communication, and planning; ability to function autonomously and anticipate, prioritize, and work on a number of projects simultaneously; keen attention to detail and accuracy; strong interpersonal and written and oral communication skills; comfort interacting with faculty, students, and other MIT offices; strong computer skills and familiarity with Eventbrite, Evite, MailChimp, Emma, and similar programs; and experience with web-conferencing and co-working platforms like Zoom and Slack. PREFERRED: familiarity with MIT systems/offices. Job #24158-6

Will work a hybrid schedule in the Quest office and offsite, with onsite presence required at events as well as planning visits to event locations. Timely coordination may necessitate off-hour communication. Workload can be cyclical and attendance at evening and weekend events is required.There will also be occasional domestic travel.6/20/24
