Additional Qualifications and Skills:

Advanced degree preferred. Must have a successful track record and proven skills in all phases of administration and operations – strategic planning, development, finance, human resources, academic program development, and program monitoring and evaluations. Prior management experience is essential. A record of leading a similarly sized program in an academic or other professional environment is highly desirable. Experience supporting science faculty will be advantageous.

Demonstrated leadership, mentorship, communication, collaboration, and analytic skills. Strong written and verbal skills are essential. Familiarity with current sponsored research and research compliance regulations is necessary. Demonstrated ability to work collaboratively and flexibly across all levels of an organization, including faculty, research staff, administrators, and executives across Harvard and its affiliates, as well as collaborating institutions and vendors. Successful applicants must have excellent interpersonal skills, clear judgment, and the ability to work effectively in a group environment. Experience developing, coaching, and supervising a diverse staff to promote an environment of collaboration, inclusivity, and belonging among teams and organizations. Prior experience having worked with students both at the undergraduate and graduate level as well as having knowledge of and familiarity with student issues and concerns.

Reporting to the Chairs of the Department and working closely with senior administrators in the Faculty of Arts and Sciences, the Harvard Medical School, and the Office of the Provost, the ED’s roles and responsibilities include the following:

  • Oversees annual budgeting and financial planning processes as well as accounting functions including payroll, reimbursements, and fiscal closes; oversees management of departmental equipment inventory and renewal; analyzes and synthesizes complex financial data and other information and produces reports and recommendations for the Chairs and other University leaders to support policies decisions and operations.

  • Develops administrative staffing and organizational plans and directly hires, manages, and evaluates eight to ten direct reports; and supports hiring and management of temporary, term, and permanent employees.

  • Oversees support for faculty and non-faculty educators in course design and implementation for the department’s undergraduate, graduate, and medical school curricula and undergraduate advising.

  • Oversees appointments and management of non-faculty appointments.

  • Oversees compliance with human subjects, research animal, embryonic stem cell, and microbial safety protocols.

  • Collaborates with Harvard’s Office of Technology Development and Office of the General Counsel to assist faculty in obtaining material transfer agreements and other intellectual property arrangements.

  • Oversees pre-award and post-award management for a large portfolio of research projects supported by government, industry, and philanthropic funds and ensures compliance with all aspects of research finance policies and regulations; reviews and approves all sponsored proposals submitted by the department, on behalf of the Chairs.

  • Supports departmental research cores including histology, flow cytometry, genome modification, induced pluripotent stem cell, imaging, and glass wash/media prep cores, including oversight of core budgets and fee structures and supervision of research core staff.

  • Oversees the management of shared equipment, working with FAS and University units (EH&S, FAS Facilities & Maintenance Operations (FMO)) to support compliance in areas of material management, lab safety, and facilities and equipment management.

  • In consultation with the Chairs, manages space assignments in labs and vivaria and makes recommendations regarding assignment and reassignment of space; works with FAS Science Division and FAS FMO to address requests for space renovations resulting from recruitments and promotions.

  • Coordinates with Harvard University IT to ensure that adequate support is provided for department research, teaching, and administration; Oversees management of HSCRB’s website.

  • DIBE initiative oversight, including partnership, collaboration, and facilitation in the implementation of DIB tools, resources, events, and education for faculty, staff, and students.

  • Contributes to committees and working groups at the School and University level as needed. Partners with University Development, Office of Technology Development and Research Administration in support of funding efforts for Harvard stem cell science.

Job Summary:

The Harvard Department of Stem Cell and Regenerative Biology (HSCRB) is a unique academic department founded in 2007 as a joint endeavor between Harvard’s Medical School, the Faculty of Arts and Sciences, and the Office of the Provost. The department’s mission is to improve human health by bridging fundamental biological research, medical translation, and life science entrepreneurship. We are committed to cultivating a deeper knowledge of developmental and regenerative biology and training the next generation of researchers, teachers, physicians, and entrepreneurs to explore new frontiers in biomedical science. The department currently consists of 20 tenured and tenure-track faculty, 200-250 postdoctoral fellows and research scientists, 40-60 graduate and 80-90 undergraduate students, and 30-40 administrators and other staff.

The Executive Director plays a crucial role in strategic planning and implementation of the department’s goals and mission and is responsible for leading all administrative efforts within the HSCRB Department, including the development and implementation of best practices in department budget processes, business operations, human resources, education, faculty and academic affairs, research policy and compliance, sponsored research administration, research operations, infrastructure, core facilities and information technology; the financial stability and integrity of the department; ensuring continuing investment and efforts in departmental Diversity, Inclusion, Belonging, and Equity (DIBE) initiatives; supporting faculty decision-making regarding searches, recruitments, offers, promotion, annual reviews and mentoring within the faculty ranks; works closely with leadership across the FAS, HMS, Office of the Provost and various Harvard affiliates such as the Broad Institute and affiliated hospitals to coordinate and reconcile any policy or procedural differences.
