Additional Qualifications and Skills:

  • Bachelor's degree preferred

  • Minimum of 1-3 years of relevant work experience in professional administrative support positions, with experience in an academic setting and in financial administration preferred

  • Experience with the Microsoft Office Suite preferred

  • Experience with EndNote or other citation programs preferred

  • Excellent written and verbal communication skills preferred

  • Highly organized with strong attention to detail and accuracy preferred

  • Experience working independently and taking initiative preferred

  • Experience interacting effectively with staff at all levels, and working as a team player preferred

  • This position has a 90 day orientation and review (O&R) period. The O&R period will be waived for any internal Harvard employee transfers.

The Coordinator's duties and responsibilities include, but are not limited to, the following:

Faculty Support:

  • Provide comprehensive administrative support for multiple junior faculty members. Such duties include:

  • Scheduling: Schedules and maintains faculty calendars; schedules appointments and group meetings in coordination with internal and external parties; sets up conference calls and video meetings using a variety of technologies (Skype, Zoom, Conference America, etc.); and may assist with the coordination of events including conferences, seminars, and colloquia

  • Travel Coordination: Makes complex domestic and international travel arrangements; maintains files on preferences, past itineraries, and other travel-related materials

  • Correspondence and Document Review: Composes basic/routine documents; reviews, assesses, routes, answers and monitors follow up action steps on correspondence; gathers and analyzes information required for administrative reporting; proofreads and edits technical reports, grant related material, manuscripts and/or other documents; and may maintain biographical sketches/CVs.

  • Uses multiple technical applications including word processing, spreadsheets, and referencing software

  • Prepares expense reports

  • May provide occasional back-up support for additional faculty members

General Office and Operations Support:

  • Serves as the primary department contact person and performs day-to-day office duties. Such duties include:

  • Primary Department Contact: Answers main department phone line, greets visitors, and responds to routine questions; triages non-routine questions to appropriate faculty or staff member; composes routine department correspondence

  • Operations: Monitors inventory and orders office supplies; provides assistance with and arranges for servicing of copy machines; serves as the liaison between the department and IT & Operations for resolving IT and other operational issues; arranges departmental parking reservations and visitor passes; manages and distributes Kresge-based mail and general department FedEx shipments

Financial Administration:

  • Understands the administrative services, policies, and procedures to effectively manage the following duties:

  • Temp Payroll: Manages the hiring, onboarding, payroll, and termination processes related to TEMP, LHT, and student workers including I-9 processing, tracking hours, time and pay approval, and Wasabi data changes

  • Accounts Payable: Processes non-employee and student reimbursements, processes corporate cards and Concur transactions for all Kresge and India-based faculty and staff, and processes department invoices; responsible for the department travel card

  • Petty Cash: Manages the department’s petty cash accounts

  • Processes Journals and Credit vouchers as needed

Other Responsibilities:

  • Increases knowledge throughout year by participating in offered training and tutorials

  • Performs other duties as assigned

PLEASE NOTE: The primary work location for this position is Boston, Massachusetts. Until our return to campus, which is still to-be-determined, this interview process and position will be conducted virtually – including virtual interviews, remote onboarding, and remote work.
