This is a hybrid position based on our campus in Cambridge, MA. Salary Range : $59,027 - $93,064

Note: Starting salaries typically fall in the lower half of the salary range; however, they are ultimately determined by the scope of the position, the candidate's relevant experience, and internal equity.

Fellowship responsibilities include:

  • Coordinating fellowship programs’ activities, including scheduling weekly seminars, handling Zoom for seminars and meetings as well as study groups, and other fellows-related programs

  • Communicating with faculty, students, staff, and other University departments on issues relating to fellowship and grant programs; serving as the primary contact and source of information for fellows, students, and faculty interested in learning about the programs; updating materials for program website and for the Center’s Annual Report; working with the Center’s communications team as needed

  • Administration of annual fellowship and student funding application processes, including: using and maintaining application portal; publicity and promotion of all programs; correspondence with applicants; collection and organization of applications; and conveying decisions to applicants

  • Data collection, management, and record keeping (including but not limited to fellow records, database maintenance, systems management) for all fellowship programs, including collecting and tracking all information needed to appoint fellows and to ensure their smooth onboarding to the Center as well as tracking fellows as they depart and keeping records that will allow the eventual building of alumni networks

Processing fellowship appointments with HR; reconciling fellowship expenses and reimbursements as needed

  • Providing administrative support to Fellows on an ongoing basis for a wide range of administrative tasks, including (but not limited to): office needs, IT needs, incoming and outgoing fellow processes, etc.

  • Supporting the Events and Programming Coordinator at fellowship convenings

Administrative responsibilities include:

  • Administers departmental operations, processing invoices, expense reports, and other financial transactions, ordering office supplies, and assisting Events and Programs

  • Coordinator with travel and meeting arrangements. Provides research and production support as needed in preparation of departmental reports and publications.

  • Shared responsibility for keeping the office presentable

  • Basic, front line office administration: mail distribution, file maintenance, supply ordering, and inventory maintenance; managing the Center’s general email inbox and voicemail

  • Assist with and take some responsibility for day-to-day operations of office, such as placing work orders with facilities

  • Other tasks or projects as they arise
