  • Highly specialized knowledge in IT asset management.

  • Ability to create executive reports and dashboards.

  • Working knowledge of cloud computing workflow platforms such as ServiceNow.

  • Understanding basic IT components (infrastructure, software, PCs, databases) and how they interact.

  • Knowledge of information technology applications, processes, software, and equipment.

  • Strong analytical & communication skills to prepare & present accurate internal reporting.

  • Demonstrated team performance skills, service mindset approach, and the ability to act as a trusted advisor.

  • Demonstrated ability to learn new technologies on the job.

  • Work at an expert level within a team on most phases of service analysis and consider the business implications of technology applications to the current and future business environment

  • Collaborate with stakeholders to translate business needs into systems requirements and scoping

Basic Qualifications:

  • Minimum of five years’ post-secondary education or relevant work experience

Certificates and Licenses:

Working Conditions:

Interview and onboarding activity for this position may be conducted via telephone & Zoom video conferencing, based on the department’s current presence on campus.

This position will be based in Cambridge, MA. Due to the COVID-19 pandemic, you will begin your work remotely. All remote work must be performed in a state in which Harvard is registered to do business (CA, CT, MA, MD, ME, NH, NY, RI, and VT). The fully remote nature of this job is only temporary. Once the University and your supervisor determine that it is appropriate, in-person on-campus work will be required as a condition of continued employment. HUIT is currently developing hybrid workplace models which will actively support some remote work (within a state in which Harvard is registered to do business) where business and team needs allow. Individual flexible and remote work options for this role will be discussed during the interview process.

The IT Asset Management (ITAM) Program Administrator plays a critical role in advancing HUIT’s IT asset management program, working alongside the Administration & Finance team members to ensure proper oversights are in place to effectively manage University assets throughout their lifecycle. This role will report to the Director of Business Operations to lead all ITAM program oversight, including but not limited to:

Program Management:

  • Manage and maintain the quality and integrity of the ITAM program on a day-to-day basis.

  • Drive development and integration of ITAM processes across the organization.

  • Partner with ITSM to plan and implement ITAM enabling technology.

  • Serve as ITAM subject matter expert.

  • Continuous monitoring of and reporting for the IT asset portfolio.

  • Partner with ITSM to gather ITAM stakeholder needs, develop recommendations for implementation, and to support program onboarding efforts.

  • Draft, recommend, implement, and continually monitor ITAM policies, standards, controls and processes and integrates with ITL across the enterprise.

  • Work in partnership with IT program ownership to convene advisory group of stakeholders to review, prioritize, and guide IT asset program decision-making.

  • Drive continuous improvement efforts for each asset sub process throughout the enterprise. This includes integration between ITAM processes as well as financial processes, procurement and other processes that feed or interact with ITAM program.

  • Provide guidance and direction to process owners for process adherence, maintenance, and improvement.

  • Create executive-level project plans and presentations in support of ITAM program

  • Develop enterprise level training curriculum and reviews process owner training documentation.

  • Strives to increase efficiency and consistency across all of IT.

Operations Management:

  • Partner with ITSM to manage software tools to support ITAM processes.

  • Collaborate with ITSM in planning, designing, developing, testing and implementation of software in support of ITAM processes across the enterprise.

  • Determine, develop, and ensure accuracy of metrics to be included in dashboard(s) for executive reporting.

  • Meet with all levels of management to review processes, compliance with processes and metrics supporting processes.

  • Utilize project tools (ServiceNow and Jira) to help manage ITAM program requests

  • Abide by and follow the Harvard University IT technical standards, policies, and Code of Conduct.
