Medical Staff Coordinator Need for Spaulding Hospital
Schedule : Monday - Friday 7:30- 4
Summary
Provide administrative support to the medical staff. Assignments may include preparing a variety of computer reports, entering data into various programs. Respond to telephone inquiries, set-up office systems, schedule appointments, meetings and prepare associated information and equipment. Deliver requested information utilizing excellent customer service and communications skills.
Key Responsibilities
Supports Chief Medical Officer, Associate Medical Director and Executive Director.
Responsible for preparing and maintaining the medical staff calendar (currently in Amion). This includes regular shifts/schedule and weekend coverage.
Responsible for medical staff weekly and monthly payroll
Responsible for the preparation of the medical staff’s ongoing professional performance evaluation
Responsible for medical staff new hire PHS on boarding.
Works closely with the SRN EPIC team and MGPO Billing team to ensure all new providers are set up correctly prior to their start date.
Responsible for coordination of medical student, resident and fellow rotations
Maintains medical staff vacation requests and calendar
Organizes Spaulding Hospital Cambridge’s Grand Rounds
Reports are prepared timely and accurately.
Office equipment is maintained and ready for use. Office supplies are ordered, and inventory maintained.
Expense reimbursement requests and purchase orders are processed timely and accurately
Appointments are scheduled and calendars are maintained accurately and with sensitivity to participants schedules.
Meetings or events are planned, scheduled and participants notified. Equipment and materials are available as needed.
Presentation materials are prepared creatively, timely and accurately.
Travel arrangements are made according to scheduling needs of traveler.
Meetings are attended, and meeting notes are prepared and distributed to attendees.
Correspondence and written communications are prepared for approval or distribution as instructed.
Additional department, organization, or network activities are completed per established objectives.

Qualifications
Education/Degree
Required:
Two years prior office experience or equivalent education required.
Associates degree or equivalent work experience.
Preferred:
Undergraduate degree in healthcare or related field
Two years prior experience working with medical staff in office or hospital setting
Skills (Specific learned activity gained through training (e.g. computer skills, keyboarding, presentation, CPR, ACLS, etc.)
Required:
Moderate supervision with some self-direction performing moderately complex work
Excellent written, verbal and electronic communications skills
Excellent customer service skills with ability to interact with a diverse population
Intermediate computer skills: Proficiency with MS Office products, ability to learn new software
Preferred:
Highly developed communications and interpersonal skills, working with diverse population.
Work independently, be self-directed and contribute as a member of a team.
Anticipates challenges and develops and implements strategies for addressing them.
High level of service delivery. Demonstrate initiative with ability to prioritize work, meet deadlines and adapt to changing situations.
Attention to detail.
