Job Title: NA Real Estate Specialist

Location: Cambridge, MA, Bridgewater, NJ

Job Description:

The NA RE Specialist will be responsible for providing organizational and operational support to the RE Project Manager as well as the greater NA Real Estate team.

The successful applicant will work closely with the Project Manager and internal and external partners to ensure the progression of the portfolio strategy. This role requires outstanding organizational skills, and the ability to manage often competing priorities in a complex, fast-paced and dynamic environment.

Responsibilities:

  • Work in coordination with third party lease administration vendor to ensure accurate and timely rent, RE tax and operating payments for North American properties

  • Process and provide continuous monitoring of monthly rent payments and real estate taxes for all North America properties totaling over $250M annually as well as ad-hoc invoice payments.

  • Continuous updating and maintenance of RE digital systems and drives housing records related to all NA RE leased and owned properties, supporting the legal and property documentation process files on RE Share Drive

  • Create purchase orders for RE service provider(s) and perform goods receipting.

  • Assist with management of the RE SharePoint/Teams, organizing information including collecting data from teams and putting together slides/files.

  • Update policies and procedures as required related to ways of working within NA RE and FM

  • Foster relationships with other stakeholders and business partners, work together collaboratively and share best practices.

  • Operations support for internal and external meetings and communication,

  • Organizational chart creation and management

  • Creation and distribution of RE team meeting minutes

  • Plan, manage and facilitate on-site and off-site meetings with internal and external stakeholders.

  • Always ensure confidentiality of information, and compliance with local and Sanofi’s rules for all business transactions.

Basic Qualifications:

  • 5 years’ experience

  • Bachelor's degree

  • Proficiency with Microsoft Office Suite, working knowledge of common intranet communication tools and business tools such as Concur, eBuy, EasyInvoice, and Workday.

  • Strong organizational, analytical, mathematical, communication and customer service skills

  • Strong pro-activeness, ability to prioritize, multi-task, work independently and as part of a team, ability to navigate a complex organization with minimal direction to complete tasks and projects, in a fast-paced and dynamic environment.

  • Knowledge of teleconference tools including Zoom, Teams, or other related software.

  • Discretion, tact, strong interpersonal skills, and ability to handle sensitive information and maintain confidentiality.

  • Work independently using discretion and judgment to know when to escalate concerns or issues
