  • Advanced MS Excel (data manipulation, data extraction, pivot tables) and database skills (multiple data sources such as Qualtrics, ServiceNow, etc.)

  • Strong;

  • oral and written communication skills.

  • analytical, problem-solving skills.

  • customer service skills with a proven track record, good listening skills, ability to establish and maintain interpersonal relationships, and supportive of team building with enthusiasm and a spirit of cooperation.

  • Asset & Project management experience preferred.

Position Description:Reporting to the Sr. Manager of IT Procurement and Refresh Services in Client Services, the Refresh Coordinator & Business Analyst is a member of a high-performing, fast-paced and cross-functional team working with our Procurement and Warehouse teams, Refresh and Field technicians, Field managers and our many departmental contacts throughout the university. The Refresh Coordinator & Business Analyst is an Operations positions and will require demonstrated operation experience to be successfully responsible for working with our various customers to determine how we can better provide our services. The team manages the endpoint device replacement program for the various schools and departments HUIT supports through the use of effective data analysis, outreach and engagement with our various stakeholders at the University. Our focus is on the successful execution of our refresh processes from inventory gathering to scheduling the endpoint computer replacement to asset disposition as we fulfill HUIT's vision to make it easier for faculty, students, researchers, and staff to teach, learn, research, and work through the effective use of information technology.

Reporting & Analytics 

  • Produces/maintains departmental computer inventories on a quarterly basis. Ability to report out of our desktop management tools - SCCM and Jamf

  • Conducts post deployment follow up (surveys) with customers and compiles reports/shares feedback with management team as required

  • Participates in measuring performance and capturing/reporting on lessons learned to continuously improve the refresh process

  • Interacts with management, deployment team/field support to resolve deployment-related issues, escalating as required

  • Collaborates with technical and support teams to improve computer refresh and support

  • Conduct lease reconciliations with our leasing vendor’s database

  • Manages deployment-related lease schedules from inception through completion

Asset Management 

  • Manages inventory and asset tracking & asset-related issues to reduce impact on customers

  • Tracks purchased assets from inception through resale or disposal and leased assets from inception through disposal/return

  • Conducts inventory auditing of various locations throughout campus

  • Create asset reports for departments and management

  • Process assets through the disposition lifecycle including asset updates, asset swaps, data destruction and pallet work

  • Update our asset tool with new inventory selections, when applicable

Computer Refresh Scheduling 

  • Maintain current scheduling communication documents

  • Schedules, coordinates, and plans computer refreshes with all supported departments

  • Conducts outreach to schedule individual refreshes as they relate to overall schedule

  • Prepares orders for computers and related computer refresh hardware and/or software

  • Manages scheduling issues to reduce impact on customers

Project Management/Business Analysis 

  • Participate in the development of plans and policies for a unit/school

  • Capture business process improvements related to functionality of tools and processes and participate in continual process improvement and collaborate with stakeholders to translate business process needs into business and systems requirements/scoping, which may include business implications of technology applications to the current and future business environment.

  • The BA function is focused more on business operations and processes than IT BA/BSA systems implementations.

  • Performs other duties related to role as requested

This position will require a minimum of two days a week onsite and during the orientation and review period up to full time (5 days)., and the hire must live in a commutable state (Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont). Additional travel to campus may be necessary based on business needs and the nature of work. Examples include bi-annual or quarterly Town Halls, critical business meetings or other work events.
