Social Services Event and Volunteer Program Manager

Non-Exempt

Full-Time - 35 hrs/week

Pay Range: $20-$22 per hour

  • Education Requirements

Bachelor’s Degree in Business, Communications, or Public Relations preferred

  • Work Experience

  • Minimum three years of experience in organizing special events (100-8000 people served)

  • Minimum three years of experience in a professional work environment, preferably a non-profit organization

  • Experience with constituent communication and stewardship through written communication and events implementation; and overall program strategy and implementation.

  • Experience in achieving program goals by developing short and long-term strategies for communication, stewardship and engagement of volunteers and volunteer leaders.

  • Experience with writing/production of communication, solicitation and marketing collateral; implementation of successful fund and awareness raising programs, volunteer programs or similar

  • Experience with recruiting, training and program planning.

  • Other Qualifications

  • Experience in making presentations to groups

  • Excellent written and verbal communication skills with experience in writing newsletters, e-solicitations, web pages, or brochures;

  • Intermediate to advanced MS Office with mail merging skills

  • Be flexible to accommodate unpredictable demands and be able to maintain priorities while managing multiple projects and a large volume of responsibilities;

  • Principal Functions

The Events and Volunteer Program Manager must be able to anticipate project needs, discern work priorities, and meet deadlines. The Events and Volunteer Program Manager should have a passion for special event management, provide outstanding communication to Social Services, vendors and event attendees and volunteers, be an enthusiastic professional, and be capable of building strong and positive relationships with donors, partners and other key stakeholders. Manage clerical, operational and other aspects of multiple simultaneous major events with special emphasis on volunteer relations. Events include fundraising and awareness events; major social service distribution events which provide toys, clothes, backpacks, food and other items in support of those in need.

Manage the recruitment, scheduling and training of volunteers for these events and other programs as needed, including logistics and volunteer coordination for Divisional activities and other events and promotions as needed. Implement a strategic plan designed in collaboration with the Divisional Social Services Director, to recruit, retain and engage individuals and corporate volunteer partners in Massachusetts.

  • Duties and Responsibilities

  • Identify volunteer needs on a regular basis through communication directly with Corps Officers and staff of Salvation Army programs, centers and service units.

  • Assist the Divisional Social Services Director with managing The Salvation Army’s volunteer management, recruitment materials, newsletters, and ensuring that other communications are factually accurate and reflect the ‘voice’ of The Salvation Army with correct grammar, spelling and punctuation.

  • Manage the Greater Boston Events database or respective database, managing the volunteer database and maximize its capacity for efficiency and effectiveness. Develop/revise as needed volunteer web page and social media related to special events. Use social media to promote volunteerism.

  • Ensure that volunteers seeking opportunities via the database are connected with appropriate corps and officers; follow up with corps/volunteers to ensure opportunities are provided and/or a need for the volunteer exists; communicate expectations based on volunteer availability and/or need/lack of need for volunteer at locations.

  • Demonstrate strategic thinking, generate enthusiasm for the special events and positively position the work/services of The Salvation Army.

  • As requested by businesses, develop meaningful opportunities for volunteers/volunteer teams at Salvation Army facilities in collaboration with Corps Officers and staff in conjunction with the Divisional Director of Social Services and any department we work with related to events.

  • Recruit, train, retain and engage volunteers and corporate volunteer partners on an ongoing basis.

  • Serve as the lead for event planning, volunteer management, production, and sponsorship.

  • Coordinate on events hosted and led by the Advancement Department.

  • Lead all event planning and production meetings and discussions.

  • Manage on-site production and clean up for events as necessary.

  • Manage the follow-up with vendors, sponsors and volunteers following each event.

  • In concert with the Divisional Director of Social Services, the Program Department and other Departments throughout DHQ when appropriate, to assist in the implementation of proactive strategic communications for engagement of existing and recruitment of new volunteers and active engagement with collaterals (corporations, businesses, social and other organizations) and individuals in identified communities as well as educating volunteers about The Salvation Army.

  • Ensure that appropriate contact action data is tracked in the appropriate database to provide the full picture of event management and ensuring that we are assisting consumer/client relationships and business relationships with The Salvation Army.

  • Assess the quantities and skill sets of volunteers needed for major events; to assist the Divisional Director of Social Services to develop volunteer job descriptions for each role at each event; Communicate these roles to volunteers in advance of events where appropriate and train/communicate roles on-site

  • Attend major volunteer events at corps and other locations to ensure that there is a volunteer management system, appropriate location for volunteer orientation, breaks, meals, etc.

  • After each event develop and implement an acknowledgement to volunteers and corporate/organizing partner that includes stats, video, and event outcomes

  • In concert with Social Services to manage clerical and operations aspects of the Greater Boston annual distribution events including task management and logistics, committee/stakeholder meeting coordination and communication, and identification of funding needs to meet goals.

  • Ensure tracking of and provide statistical reporting/outcomes of distribution and drives/collections to Director of Social Services and Corps Officers. Communicate with the Social Services team, IT and Corps Officers to set expectations for their data tracking. Coordinate with IT to ensure that on-site intake system with all necessary equipment is installed for participant check-in

  • Communicate calendar of event dates, vision, goals, etc. of distribution events, drives/collections with key stakeholders including corporate partners, committee volunteers, Corps Officers, Social Services department and Divisional leadership.

  • In concert with the Social Services Department, communicate in advance with Corps Officers and other appropriate staff the availability of resources and/or dates to ensure proper coordination intake processing in advance and at onsite event registration/check-in. As requested by social services, provide forms, flyers, promotional materials, and fact sheets to support promotion of intake

  • Support the Social Services Department and to a limited degree other Departments in the implementation of National, Territorial and Divisional promotions with corporate partners to collect toys, school supplies, and other items.

  • Organize, coordinate and communicate drives/collections with Corps Officers/Service Extension Unit. Track progress and reporting documents. Provide final event reports/summaries to DHQ and Program Department as requested.

  • Represent The Salvation Army’s spiritual ministry and social mission in the community

  • Perform any other duties as requested
