Kayem Foods, Inc. Executive Administrative Assistant in Chelsea, Massachusetts

KEY RESPONSIBILITIES: Provide direct senior executive level support to the CEO and CFO. Some support to other Senior Executives as needed Manage complex professional and personal calendars for the CEO & CFO by managing daily schedules with meticulous attention to detail including meetings, calls, and events. Anticipate scheduling conflicts in advance and adjusting calendars to maintain an optimal schedule of Executive?s priorities and commitments Independently manage critical emails, responding when appropriate and drafting official correspondence on behalf of the CEO & CFO Manage relationships with a variety of external vendors, business partners, and community contacts for team needs Timely Data collection, analysis, preparation and detailed review of documents such as emails, letters, spreadsheets, forms, contracts & agreements, expense reports, budgets, and PPT presentations Manage all aspects of meetings and guest hospitality, including communicating with participants, booking rooms, room set up, management of logistics, travel, ordering catering, creating agendas, presentation decks and materials, taking minutes, ensuring follow up items are addressed and conference room and required technology set up Serve as office expert on conference room and virtual meeting technology and assists others Manage the development, publishing, distribution of Annual Operating Plan. Collect, consolidate and calculate statistics on strategic initiatives in preparation for board meetings Manage communication, tracking and distribution of sports tickets and other assets Manage execution and communication related to community service activity including, monetary, premium, in-kind and participation Create and manage a corporate calendar Other Administrative duties such as managing all aspects of travel, organizing digital and physical files, stocking conference rooms with supplies, water and food as needed, managing keys and locked spaces and cabinets Personal assistant support including management of personal calendar and travel, making purchases, performing errands and coordination and support with offsite personal events and activities Additional assignments as needed EDUCATION AND/OR EXPERIENCE: Bachelor\'s Degree preferred. Experience supporting multiple Senior executives preferred. QUALIFICATIONS: Superior level of discretion, integrity and confidentiality Exceptional organizational and multitasking skills, with the ability to prioritize effectively and handle schedule adjustments proactively Must be proactive, have strong work ethic and be highly detail oriented Resilient with the ability to adjust to ever-changing environment enthusiastically Must have the ability to independently troubleshoot when encountering road blocks in order to complete tasks and assignments Proficiency in office technology and software with the ability to adapt and troubleshoot as needed. Proficiency with MS 365 products: Outlook, Word, Excel, and PPT Ability to lead and coordinate Zoom, Teams and conference call sessions Strong analytical, interpersonal, communication, and presentation skills are needed (both oral and written) Is passionate about Kayem Foods? commitment to our culture and goal of creating an atmosphere that encourages expansion and growth and providing exceptional products for our customers
