Robert Half Front Desk Coordinator in Chestnut Hill, Massachusetts

Description We are offering a long term contract employment opportunity for a Front Desk Coordinator in Chestnut Hill, Massachusetts, United States. This role primarily involves administrative assistance in a bustling setting, providing concierge services, and managing a multi-line phone system.

Responsibilities:

• Serve as the first point of contact, managing reception duties including answering and directing phone calls on a multi-line system

• Leverage interpersonal skills to provide top-notch customer service, resolving customer inquiries and issues efficiently

• Carry out administrative tasks such as data entry, managing and organizing files using Microsoft Excel, Microsoft Outlook, and Microsoft Word

• Support the team with administrative assistance, ensuring smooth daily operations

• Utilize your skills in Microsoft Word, Excel, and Outlook to maintain accurate customer records and process information

• Play a key role in managing concierge services, tending to customer queries and needs

• Maintain a detail oriented demeanor and provide a high level of customer service to all visitors and callers

• Ensure the front desk area is kept neat and presentable, reflecting the detail oriented image of the workplace

• Coordinate with other team members to handle administrative projects and ensure a smooth workflow

• Use interpersonal skills to build a positive relationship with customers and team members alike. Requirements • Proven experience in Administrative Assistance

• Ability to manage an Answering Multi-Line Phone System effectively

• Experience in Concierge Services

• Strong Customer Service skills

• Proficient in Data Entry operations

• Excellent Interpersonal Skills for effective communication

• Proficiency in Microsoft Excel, Microsoft Outlook, and Microsoft Word

• Demonstrated ability in Organizing Files efficiently

• Ability to handle multiple tasks and prioritize effectively

• Strong attention to detail and problem-solving skills

• Excellent written and verbal communication skills

• High level of discretion and judgement in handling confidential information

• Ability to work independently as well as part of a team

• Flexibility to adapt to changing demands and procedures
